I am writing this morning to offer some education regarding workarounds for a feature that many of you post to ask about: an ability for event types to be booked simultaneously (in an overlapping manner). Let’s dig in! 🕵🏻

As a reminder: a workaround is something we can implement when there’s not exactly an existing feature or functionality that helps to meet a goal you have - but with a little extra effort and creativity - still allows for the endgame to look nearly identical. In short: they’re awesome! 

Q: Who will this article benefit? 

A: All Calendly users on paid plans! Calendly users on our free plan can have one active event type at any given time - so a need for overlapping event types is a non-issue. All users on our paid plans, at any tier, can have numerous active event types - so keep reading! 

Note: For each of these workarounds, you will need to be on at least our Standard plan or above. You can read more about our plans, pricing and features on our Pricing Page! Note: an annual subscription will result in a 20% discount for all paid plans!

Why do you need a workaround in order for multiple event types to be booked at the same time? 

Because Calendly sees each account as an individual user, it will not (currently) allow overlapping Calendly events in an effort to prevent double bookings. 

Will this change in the future? 

We can’t say for sure (sorry - truly!). That said, you can track product updates here - and we suggest you do. If a feature allowing overlapping event types is ever launched at Calendly, you can bet on us posting a loud announcement telling you all about it here in community.

💬The Group Event Type Method

Group Event Types allow multiple invitees to book a single time slot with you, the host, for a group meeting. If your goal is to allow multiple people join a single meeting at the same time, this is a simple and easy workaround that meets your goal!

👥The Team Page Method

To use this method:

  • Set up a team page that includes multiple users that are actually your alternative email addresses.
  • Create a round robin event type between your accounts so invitees can continue scheduling for the same time slot as long as one account has availability.
  • Alternatively to setting up a single Round Robin ET with multiple hosts, you can use Round Robin ETs as “one-on-one” events on a team page. “True” one-on-one events cannot be created on a team page. As long as each event has a different host, they will be able to be booked simultaneously! This option > the first if you want multiple event types going at once on your team page. 
  • You can also use Collective Event Types as “one-on-one” ETs on a team page.
  • Keep in mind, you will have to pay for each additional user in order to go this route.

There you have it! Now you know how you can technically allow for overlapping event types within your Calendly account - and none of it is too terribly painful or complicated. Win!
