Dear Calendly team and community,

I got Calendly integrated with my Apple Calendar.

This calendar has several categories, e.g., “Client projects,” “Acquisition”, and “Personal”.

I also use the time-blocking concept and enter “BLOCKER” into my main calendar category.

These blockers should not be bookable for “average Joe Calendly.”

This setup works perfectly fine.

---

NOW I want to have that my VIP clients do not see the BLOCKERS (i.e., calendar entries in the main category) and have a wider choice of booking options.

Can I assign a second integration / a second calendar set to a VIP booking page?

Thanks much in advance.

Best,

Frank.

Hi Frank,

Hmm. Calendly is designed to make sure you never get double booked, but there are a few ways you could make this work.

First up, we do offer the ability to “book over” time - but the booking has to happen on your side (the host side). It’s a helpful feature when you know exactly what parts of your calendar can be ignored. More on that feature here: https://help.calendly.com/hc/en-us/articles/20468357687191-Book-over-meetings

The second option would be to block off those specific time slots in relevant Calendly events (the “average Joe Calendly”) and have a separate event that is wider open for VIPs. I sort of do this with my own setup already. My peers have nearly full access to my “Calendly Peers” event, whereas my “LinkedIn Networking” event is only accessible Tuesday-Thursday with restricted hours and limits per day. If you go this route, you’d need to remove the BLOCKER events on your native calendar and lean more into Calendly’s schedules. More on that here: https://help.calendly.com/hc/en-us/articles/14074797893143-Calendly-Schedules

Hope this helps!

Hello Jillian,

thanks for your rapid reply.

I guess I would need some time to digest your information.

But maybe I was a little to be vague.

Let me try one more time.

In the attached screenshot you see my Calendly setup.

It connects to 6 iCloud calendars. If I could remove one of them (=”Kalender”) for a new event type, my VIP idea would work.

Is that feasible?

Thanks much in advance.

Best,

Frank

Hi Frank,

If the calendar you want to remove is where the BLOCKERs live, yes - I believe so! Just keep in mind you’ll also need to modify the schedule in the “regular” events to block out the VIP time and create a VIP event with a wider range of availability.

I’d recommend giving it a try and testing it yourself before sending it out. If you see any unexpected availability or unavailability, give the Troubleshooting Availability Tool a try to figure out what the issue might be. More on that here: https://help.calendly.com/hc/en-us/articles/223145627-Using-Calendly-s-Troubleshoot-Tool

And if you need more here, we’re here!

Thanks for your help.

Book over meetings was the solution.

Applied it with “includes”.

So I will block available time that should be accessible for my VIP clients with “BLOCKER” or, if the content is more defined, “BLOCKER: Topic xyz”
