I sometimes need to book a Calendly event that ‘shouldn’t ‘ in theory be bookable.

for example,

that’s within the buffer zone of an existing booking,

or outside my set available hours,

or already has an event booked on my Outlook calendar (ie not booked thro Calendly).

So I make the changes that should make the event bookable, for example, I reduce the buffer zones or change my availability or mark as free the Outlook event… and then I wait, and wait, and wait, for the changes to take effect and for the slot I need to show up as free.

I refresh over and over, but the troubleshooter still shows the slot as ‘calendar’, or ‘buffer’ or ‘duration’, for ages, then suddenly it’s available.

 

Is there a refresh interval ? How does it work? 

 

In the meantime I have to sit and watch it so that I can book it the moment it shows as free, ie so no one else can book the slot before I do. I didn’t time it but this evening I think it took about an hour, usually it’s more like 5 - 10 minutes.

 

I have a standard 1-seat plan

(I used to use Acuity and it allowed me to overwrite existing events which got round this whole problem. I only changed because of VI accessibility issues)

There are a lot of dependancies on the sync time, do you know if you use the Outlook Plug-in or the connections through Office 365? If its using the cloud connection/Office 365, it should only be a few minutes. However it could be longer if you’re using the Outlook Plug-in.

Either way, I did want to point out you have a way to override your availability automatically by using the Contacts Page! I’ve listed the steps below:

 

  1. Navigate to your Contacts tab

  2. Find the user you’d like to book with, then select Book Meeting next to the contact you are looking to reach out to.

  3. Select the event you’d like to book

  4. Before you book, you also have a few options!

    1. Edit the Title, Duration or Location
    2. Add any guests to the meeting
    3. Override your availability by selecting the button on the top right

Taking a look at your screenshot, this looks like you’re using the Cloud Connection through Office 365. In a pinch, you can always try disconnecting and reconnecting the calendar as well. This won’t effect any of your scheduled meetings, but lets that connection sort of ‘refresh’.
