I’ve read through similar questions, but none of them are exactly what I need. Here is my scenario:
I am on a training team. We all have Calendly accounts. Normally we would just send a link to a client and have them select their time. What we would like to be able to do is to send a link to clients that allows them to select their preferred/assigned trainer. However, if that trainer is not available during their window, they can just select a best date and time and a trainer would be assigned that time.

The best way to go about something like this is by using our Round Robin event type! Round robin events allow you to combine multiple hosts under one event, when a user books with you, it will automatically be assigned to one host in the rotation, then another for the next booking based on the distribution method. The Round robin event type offers 2 different ways to distribute meetings between hosts:
Maximize for availability - allows invitees to book meetings whenever a host is available. Use this to maximize the number of potential meetings booked and when the even distribution of meetings across hosts is less important.
Optimize for equal distribution - allows for the most even distribution of meetings across hosts. This can lead to fewer booked meetings overall as equal distribution is given priority over host availability.
This way, if the clients specific trainer is not available, they can book through the Round Robin event to be assigned to another one! Keep in mind, this is only available on our Teams Plan and above. Let me know if you have any questions!
David, thanks for the reply. Would the Round Robin allow for selecting a particular member of the team when available? So, if Client A wants to request my time, and is willing to wait until I am free, they can select the first available time, where Client B really wants training in the next few days, so they just select the first available. Will that type of setup be available in Round Robin? I don’t just want to have the Round Robin to assign the request to the next available team member.

So as an example, you can setup a Routing Form like so:
Question 1: Who would you like to book with?
A: Trainer 1
B: Trainer 2
C: Next Available
Question 2: How long would you like this meeting to be?
A: 30 Minutes
B: 60 Minutes
C 90 Minutes
In this case, based on their answer, they can be routed to a specific booking page with their designated trainer and time-frame, or be booked for whoever is available next.
