Hello!

I’m a Product Manager exploring whether Calendly could be a suitable solution for a specific use case in my organization, which provides consultancy services for freelancers.

Here’s my question:
Is it possible for a Calendly user within our organization to share a one-time scheduling link for another Calendly user’s availability with customers?

 

To provide some context:
Our customers need to schedule appointments with their designated Consultant. However, to avoid overwhelming the Consultants, our Customer Success team acts as a filter and facilitates the scheduling process.

Here’s the workflow I envision:

  1. We’d use one of Calendly’s paid plans to set up individual profiles for each Consultant.
  2. When a customer requests an appointment, the Customer Success team would share a one-time link for the relevant Consultant’s availability. This ensures the link is only usable once and prevents it from being reused for unsanctioned scheduling.

If one-time links shared this way are not possible, maybe you can help me designing a feasible solution within Calendly to streamline this process.

The answer is yes! As long as the Customer Success team has access to the Calendly organization, you can share events on behalf of other users. So you would want to setup an additional account for that team, and give them the Admin Role so they have permissions to look at other users in the organization. From there, they can select the user from the My Calendly dropdown and share their event.Heres a screenshot from my test account of what this would look like:

This is really helpful, David! I’m curious—does the Admin Role allow the Customer Success team to manage or adjust event settings for the Consultants too, or is it just limited to sharing links? I’m asking because it could be useful if they could tweak certain settings on behalf of the Consultants without needing direct access to their individual accounts.


Hi ​@Chris31886 - The admin role allows you to adjust events for other users in your organization as well. You could also utilize Managed Events to assign events to users, while your Admins can change or adjust settings on their behalf as well. You can read more on this here: Managed events overview
