Overview

If you haven’t received your Calendly email invitation or confirmation, first identify whether you’re the host or the invitee, then check the appropriate inbox and settings. Hosts receive booking confirmations from notifications@calendly.com to the email used for their Calendly login and should also see events in Scheduled Events and on their connected calendar. Invitee notifications depend on the host’s settings; if you’re an invitee, contact the host if you can’t find the email.

Step-by-Step Guide

  1. Determine Your Role
    • Are you the host (the person with the Calendly account) or the invitee (the person who booked with a host)?
  2. If You’re the Host, Verify Expected Confirmations
    • Check the inbox for the email you use to log in to Calendly for messages from notifications@calendly.com.
    • Open Calendly and go to Scheduled Events > Upcoming to confirm the booking exists.
    • If you’ve connected a calendar, check your external calendar for the new event from your Calendar Connection settings.
  3. If You’re the Host, Troubleshoot Deliverability
    • Check Spam/Junk and search your inbox for notifications@calendly.com.
    • If your company uses a firewall or email filtering, ask IT to allowlist Calendly IP addresses used for inbound integrations per the developer endpoint, then test again.
    • Book a quick test event with yourself to confirm you now receive the host notification.
  4. If You’re the Invitee, Locate the Confirmation
    • Search your inbox (including Spam/Junk) for notifications@calendly.com and for the host’s email address.
    • If you still don’t see it, contact the host directly. Calendly Support cannot provide details of someone else’s meeting to you, and what you receive depends on the host’s confirmation settings.
  5. Optional for Invitees: Improve Deliverability
    • If your organization filters emails, ask IT to allowlist Calendly IP addresses so messages from notifications@calendly.com can reach you.

Key Notes & Limitations

  • Hosts are sent a confirmation email for every booking to the login email on file; bookings also appear under Scheduled Events > Upcoming.
  • Invitee emails depend on the host’s confirmation settings; meetings you book with another Calendly user will not appear in your own Calendly account.
  • Calendly cannot share details of a host’s event with an invitee; please contact the host for assistance.
  • Repeated calendar invites typically originate from your connected calendar, not from Calendly emails; review your calendar connection if you see duplicates.

Frequently Asked Questions

Q: I’m the host. I’m not seeing emails, but I do see the event in Scheduled Events. What next?
A: Search for notifications@calendly.com, check Spam/Junk, and have IT allowlist Calendly IPs if your company filters email; then book a test event to verify delivery.

Q: I’m the invitee. Can Calendly Support resend my confirmation?
A: No. Please contact the host; what you receive depends on their settings, and Calendly cannot share another user’s meeting details.

Q: Why did the person scheduling with me receive repeated calendar invitations?
A: Those duplicates usually come from your connected calendar (“Add to calendar”) rather than Calendly emails. Confirm which calendar you’re connected to (Google, Outlook/Office 365) and adjust there.
