“Calendars” and “Event Types” - what’s the difference? “Workflows” and “Event Type Reminders” - aren’t they the same thing?! Use this post as your guiding light when it comes to what is what within Calendly. We have a specific set of terminology and verbiage that you will run into when writing our support team, talking to other Calendly users and reading through our Help Center - so understanding it all will be of great use!
Event Type: this is the meeting type (one-on-one, Group Event Types, Collective Event Types, Round Robin Event Types and One-Off Meetings) that you create so invitees can book with you.
Invitees: these are the people (clients, patients, etc.) that book with you via Calendly.
Connected Calendars: these are the calendars you sync on your Calendar Connection page so that Calendly can tell when you are busy/have conflicts, and so that Calendly can push your bookings to your calendar, externally.
Booking Page: this is the page on which your invitees can book your event types. On this page, a “calendar” will display - this is your schedule and chosen available hours. This often gets confused with both “calendars” and “event types.”
Availability Schedule: you create an Availability Schedule when you set up your Calendly account. This can be applied to your event types, and tells Calendly when you are available to be booked! Time that you are marked “busy” in your connected calendar(s) will be automatically removed from your availability so that you are not double-booked. You can also set up event-specific availability in your event type settings.
Paid Seat: this is the “license” that your organization’s users (on your paid plan) uses. You purchase one paid seat for each user that you plan to add to your plan. You can remove users without removing seats, leaving the seats empty to be filled by new users.
Users: these are the actual people/accounts that are part of your organization under a paid plan.
Workflows: automated tasks (emails, SMS) that you can use to send reminders, followups and more to invitees that book with you. Read more, here.
Event Type Reminders and Followups: automated tasks specific to an event type that you can send to invitees that book with you. Read more, here.
Scheduled Events (tab): this is where you can view your upcoming, past and cancelled events that have been booked via Calendly.
Integrations: these are third-party platforms that you integrate with Calendly. You can view them all under your “Integrations” tab.
