1 company, currently 7 stores and 7 different Calendly accounts and bills. Needs simplified

Hi,

 

We are one company and currently have 7 stores in different locations. We will open more in the coming year.

We use Calendly mainly as an appointment tool for customers to come by one of the stores and get the help they need.

 

Currently I’m dealing with 7 different Calendly accounts and 7 different bills.

 

I would like to simplify this and hope Calendy has a Master account under which i can hang all the current and new stores with their own calendars.

 

Is this possible and can i transfer the current accounts to this new one?

Thanks so much for reaching out. This is definitely something Calendly can help simplify.

Yes, you can move from separate accounts and bills to a single Calendly organization (a “master” account; we call this a Teams account) where all of your stores are users/teams on one centralized subscription and invoice. Each store can still have its own calendar, booking links, and event types.

 

Here’s how it would work at a high level:

  1. Choose your “master” account. Pick which Calendly account you want to use as the main organization owner (this is where billing will live going forward). This account should be on a paid plan that supports multiple users (Standard/Teams/Enterprise).

  2. Add seats for all stores. From the master account, add enough user seats for each store or staff member you want in the organization (Admin center → Users).

  3. Remove each store from its old org (if needed). If a store’s email address is already part of another Calendly organization, that user first needs to be removed from their current organization so they can join the new one. (Note: If a store owner controls a small “child” org with multiple users, they may need to remove extra users/teams first so their account can be converted to a single/solo user and then invited into your master org. Our support team can help with this if needed.)
  4. Invite each store into the new organization. From the master account, send invitations to the email addresses currently used for each store’s Calendly account (Admin center → Users → Invite users). Once they’re removed from their previous org, they can accept the invite and will take a seat in your master organization.

 

What transfers vs. what doesn’t

  • When a user moves into your organization, Calendly brings over their key personal settings:
    • Personal scheduling link
    • Availability settings (working hours)
    • Individual (one-on-one) event types
    • Connected calendars and user-level integrations like Zoom/Google Meet
  • Some items do not move and may need to be recreated in the new org, such as:
    • Team/shared/managed event types
    • Routing forms
    • Zapier and payment integrations (Stripe/PayPal)

 

Billing & refunds
Once a paid user joins your master organization, their old solo/child subscription is canceled, and Calendly typically issues a prorated refund for unused time on that previous subscription where applicable. Going forward, only the organization owner (your master account) will be billed for all store seats on a single plan and invoice.
