An inbound lead booked a meeting and I canceled it, and it was removed from my calendar. They were able to reschedule it anyways, and the email update came through, but it’s not on my calendar. I can’t find any way to resend the rescheduled one to my calendar. 

So I have two questions - 

  1. Why is someone allowed to reschedule an event after we have cancelled it?
  2. Since now someone does want to take the meeting after all, I can’t add the appt back to my calendar so I can forward it to another attendee. Is there a way to add it back?

This sounds confusing and frustrating! So sorry you are running into issues. I’ll get right to addressing your questions

 

  1. Short answer is that a ‘reschedule meeting’ link is automatically included in the email notification to your attendee when you cancel a meeting. While you can’t completely block the ability for your invitee to reschedule with you (they have your original booking page link after all), you can make it more inaccessible. You can remove the reschedule meeting option under invitee notifications. I’ll describe the workflow:
    • Click on the Event Type you want to edit → A right rail menu will appear with settings → Scroll to the bottom and select ‘More Options’ → On the next screen select ‘Notifications and workflows’ → Under Basic Notifications select the elipsis on ‘Calendar invitation’ and press ‘edit’ → at the bottom of the new menu screen is a checkbox titled ‘Include cancel and reschedule links in email invitations and reminders (recommended)’ → uncheck that box and your attendees won’t have that option when they receive a cancellation email.
  2. Once you cancel an event Calendly removes it from your calendar. If your invitee successfully rescheduled with you, you should see it in your upcoming meetings. If you aren’t seeing it there you may need to reset your calendar sync. You can do that by heading to your Calendar Connection page and clicking the “trashcan” icon next to your connected calendar. Then, reconnect by clicking the button next to the desired calendar type. Once you’ve done this, go ahead and test it out by booking and rescheduling a meeting with yourself.

Okay thanks. 

For #1, would that remove the ability for them to reschedule at all? Even if it’s not canceled? I do want to let them do that, sometimes they need to.

For #2, I saw the meeting in the Upcoming Meetings when logged into calendly.com, but I needed to add it to my and my boss’s calendar so I ended up just creating a new appt just for him and pasting all the calendly content into it. I’ll see if I need to sync my calendar again, I had no sign that could be an issue until now.
