Hi Calendly Team,

I’d like to suggest a feature that could streamline scheduling management and improve the user experience: a "Rebook" option.

Currently, rescheduling involves either a manual process or sharing a link while the original meeting remains on the calendar, causing potential confusion. Alternatively, canceling removes the meeting entirely but doesn't facilitate easy rescheduling.

The "Rebook" option could work as follows:

  1. Cancel the original meeting: Automatically remove it from both parties' calendars and send cancellation notifications.
  2. Trigger a reschedule notification: The invitee would receive an email or text notification with a pre-filled reschedule link, maintaining the same details (name, meeting type, etc.) for a seamless new booking.

This feature would eliminate extra steps and improve communication while ensuring clarity for both hosts and invitees. It would also align with workflows offered by similar tools, enhancing Calendly’s competitive edge.

Right now, there should be a reschedule link included with your events that shared with the customers. They can use this to reschedule the event that triggers a notification, and removes the previous event and updates it with the new time and date - Which sounds similar to what you’re looking for.

Any other details on this would be great!


Hi, I was looking for the same thing. I used to be able to reschedule the same person and meeting time. Did that feature disappear? I would love for it to return. My memory is that it was a hyperlink located below “filter for event type”

 


Hi ​@Kate82752! In this case, scheduled events that are in the past, won’t have a reschedule option, however, any upcoming events will have that reschedule button on the details section:
 

 

If you’d like to rebook someone with a previously scheduled event, the best way to do this is by going to your Contacts page, finding the user, then selecting Book Meeting or Share Availabilityhttps://calendly.com/app/contacts/user/me

I am looking for something on my user end. I occasionally need to cancel and reschedule a meeting because of a conflict (or being out of the office unexpectedly) and currently - I can only do the following:

  • Cancel the meeting: the other party gets a notification that their meeting is cancelled, the time is freed on my calendar but in order for them to book a different time - they have to re-enter all their information again. If they use their side of the reschedule process - it populates that info all over and gets rebooked.
  • Reschedule: this requires ME to pick the time and date and reschedule on their behalf. I do not want this as it would require me to guess or have direct contact with the party. I would like a third option - which combines these two things.

Cancel and Rebook would both cancel the meeting (they get a notice that the current meeting is cancelled), it removes that meeting on both ends of the calendar, but also prompts them to reschedule the same meeting and uses the same details and info to pre-fill the forms and essentially makes them just pick a new time and date - just like if I shared the link to reschedule with them. The issue with sharing the reschedule link is that it requires the current appointment to still be active. I do not want to wait for them to rebook before being able to cancel the meeting on my end. It causes confusion, issues on my end of the calendar, and I have had more than a few folks show up to appointments because the reminders still went out that the appointment was happening (they likely missed my prompt to reschedule or just ignored it).

Does that make sense?

In the meantime, I would recommend using the Share Availability option over on your contacts page - This lets you share an events availability with a user directly through Calendly. While it may not exactly fit your case, it may be good to use in the meantime.
