I already have an event created that we can have a MAX of 4 total registrants. We have 1 virtual option and 3 in-person options. When someone schedules an virtual appointment at 5:00 pm on Wednesday, it removes the other 3 in person options from the event.

I need it to only mark the virtual option and still allow 3 in person options.

I already have the event created as well as people registered for both.

Hey there @Rebecca80138 - thanks so much for posting this! Let’s get you back to easy scheduling, shall we? 🤗

I see that you have an event type A (In Person) and an event type B (Virtual) setup - and that when one is scheduled, the other is marked as unavailable. I also see you say that you set a maximum of “four” invitees for these event types.

Firstly - the “daily limit” applies per day per event type, and does not span multiple event types nor does it span multiple days - so keep that in mind! You can read more about that and other event type settings here

An ET’s “Daily limit” refers to the number of individual bookings that ET will allow each day that you are marked available. If you set *this* to “four” then only four invitees total will be able to book this event type each day, regardless of the time they choose.

Secondly, if rather than “daily limit” (in your event type settings) per day you are referring to the “Invitee limit” in a Group Event Type (for a single time slot) - setting this to “four” would apply to each and every time slot in the group event type but would not in any way change settings in the one-on-one event type (including the “Daily limit” for that ET). They operate entirely separately - save for one important way. They cannot be booked in an overlapping manner!

Because Calendly sees each account as an individual user, it will not allow overlapping Calendly events in an effort to prevent double bookings. However, we do have a Group event type that will allow multiple invitees to book the same time slot on one event type (I believe you have already set one of these up!).

You can also set up a team page that includes multiple users that are actually your alternative email addresses. Then, create a round robin event type between your accounts so invitees can continue scheduling for the same time slot as long as one account has availability. You can also use Round Robin Event Types or Collective Event Types as one-on-one event types on a team page (because “true” one-on-one ETs cannot be created on a team page - read how-to here). Keep in mind, you will have to pay for each additional user.

In order to allow both event types to be booked at the same time, you will need to add at least one more “user” to your account and then set up a team page > create the event type from scratch under that team page > assign that new user as the host > and boom! The events can be booked simultaneously - in an overlap.
