Hi!

I have some managed events and some managed workflows in Calendly.

When I am in the planning view and click on a managed event, I can choose more options and go to notifications and workflows. Here I would expect to be able to assign some managed workflows to my managed event. Instead I have a confusing message:

The message says that only the owner of the event can do changes to the workflows. This message makes little sense to me as I have the admin role.

I have a suspicion that the reason why I can’t do assignments is because the managed event is already assigned to the managed workflow over the managed workflows settings and the managed workflow will anyways be triggered every time when the event happens.

The GUI is in my opinion confusing at this point.

Why is this message about ownership displayed that makes no sense to an admin instead of displaying a read-only list of the workflows that are triggered by the event and a message that tells where to go in order to do changes.

What do you think? Is my assumption correct?

Best regards

Hristo

Hi @Hristo33740 - Thanks for reaching out!

Could you try going to your workflows page, then try to create and assign one from here? https://calendly.com/app/workflows/user/me

Let me know if the test event comes up as an option or not. It may just be because its a managed event it appears as such - But let me know if that works or not.

If not, I’d recommend sending this over to our support team as they could dig into what might be going on here more than I can. You can email (support@calendly.com) or chat in with this info at any time.

Let me know if you have any questions!

Hello David,

yes, the test-event comes as an option. ✅

The test-event comes as an option also in the managed workflows view. ✅

I also tested and verified that I can assign the managed event to a managed workflow from the managed workflows view and the managed event indeed triggers the managed workflow. ✅

So the functionality is there. ✅

The problem is in the GUI at the specific place that I noted in my screenshot above.

As a user I would expect to see there at least a read-only overview of the workflows triggered by the event or even better an editable list of the workflows. Instead as you can see in my screenshot I don't see an overview of the workflows triggered by the event there ❌ and I see a message about the ownership that makes no sense for an admin ❌.

A product owner from Calendly should check this spot in the application. Could you sent this topic to a product owner? It makes no sense for me to write the same stuff to the support team when I have already written it here. And as the functionality works, I am not looking for a workaround, so I don’t really need support from the support team.

It is about clarifying the app behaviour which at this spot makes no sense and improving the Calendly app.

Sure thing - Just needed to make sure that the functionality was still working for you since you’re listed as an admin.

Since it is working, I’ll get this sent over to our product team to investigate the GUI from here, thanks for the report @Hristo33740 !
