I run a job platform 247JobInCanada,where employers often request quick pre-screening calls with candidates. I'm looking for the best way to embed or automate Calendly links into our workflow so that scheduling interviews feels seamless for both sides.

Has anyone used Calendly for hiring or job board setups before? Tips on customizing availability, adding qualifying questions, or auto-inviting team members?

Such a great question @lunaharperk24!

You can definitely use Calendly to help with this, but I’m going to tag in another community member (paging @OdlenikaJoseph!) to give some firsthand knowledge if she can. Hopefully some other hiring folks can chime in too!

Thanks @jillian!

Hi @lunaharperk24

I'm not familiar with that specific job portal, but I would first check whether it integrates directly with Calendly. If it doesn’t, I recommend creating a pre-screening event type in Calendly and embedding the booking link into a standardized pre-screen email that can be sent at scale.

Our job platform also supports Zapier, so we use it to automatically add notes to candidate profiles—this helps us track interview updates, including reschedules or cancellations.

Regarding qualifying questions, I’ve opted to exclude them from the Calendly booking form (aside from basic contact information) to avoid losing valuable data. Instead, we include custom field questions in the job application itself. This approach also minimizes the risk of those questions becoming outdated or inconsistent over time.

In our organization, we cap pre-screens at four calls per interviewer per day, with 5–10 minute buffers between each to allow time for writing and submitting scorecards/interview feedback.
