Booking meetings directly in Calendly and have invite emailed after


Hi I love the email follow ups, cancellation functions etc in Calendly and would love to take the new function of booking one off events one step further - replace what I do in Google and allow me to booking meetings directly in Calendly and then have invite emailed to the client after.

I work as a coach and am sending meeting invites from Google to clients to book our pre-scheduled coaching sessions. 

Is this possible?

If yes, it would save me a lot of manual work and so much easier to manage cancellations.

Hi @NatalieCoach!

There are three solid ways I can think of doing this through Calendly:

  1. Download the browser extension and use the “Book meeting” functionality. This lets you pick a contact and set the meeting up for them in Calendly. More on that here and my most used solution by far!
  2. Through the website version, you can do the same by going to Contacts > Book Meeting. Just a few more clicks but same outcome.
  3. Open up your event type link as an invitee and input their information for them.

All 3 end up with your invitee receiving a calendar invitation they can either accept or decline and you control the meeting time.

I admit I am a bit confused, so please forgive me for asking for clarification on your ask, here. 🤗

Are you asking if you can book a Calendly event directly from Google Calendar, then have an email sent to the client confirming the event? If so -- that’s unfortunately not possible right now (booking directly from Google). 

If not, do you mind explaining in a bit more detail exactly what it is that you are hoping to do so I can best help?

Hi Kelsi, 

I’d like to create a Calendly event in Calendly, with the dates and time fixed, the client would need to accept but would not choose any date or time. They only accept or decline the invitation with the date and time I chose for them.

 

Is this possible?

Hi, thanks @jillian for the explanation. 
I’m just asking a followup: 

I’m doing it almost the same way as @Kelsi at Calendly ist doing. And I tried your solutions, @jillian .

But when I’m doing it this way, then there are big disadvantages:

the client is receiving a booking notification, BUT

  • no reminders via E-Mail
  • no reminders via SMS

It doesn’t matter, if I have configured workflows or standard-notification: They are only sent, when the clients are booking a meeting for there own (with entering all there details) and not, when I chose a client and selecting a meeting date.

Is there a way to configure Calendly, so even reminders are send when I’m choosing an appointment after selecting a client within Calendly?

@WernerK this is precisely what I’m trying to achieve, I have the same issue as you. Hope we’ll get a resolution soon!

Hey there @WernerK and @NatalieCoach -- thanks for following up!

The new “book meeting” functionality does not currently include Workflows/reminders functionality. These bookings are similar to One-Off Meeting types. I’m sorry!

I will make sure to include your feedback, as this is a new feature, and we are happy to hear what our customers might be missing in hopes of updating it later!
