Hello, Calendly n00b here. My company only has myself and my CEO on our account so far. 

 

Yesterday, my CEO sent an email with a Calendly scheduling link to me and 3 external recipients. 

 

I clicked on the Calendly scheduling link, and was presented with a list of times that clearly overlapped with existing meetings on my sync’ed Google calendar. 

 

What is going on here? Isn’t this the “you had one job” that Calendly is supposed to handle? Shouldn’t calendly read my sync’ed Google calendar and not present me with times that overlap with existing meetings? Isn’t this the whole purpose of Calendly?

Hi Jason!

That is in fact the purpose of Calendly. However, if you are not currently logged into Calendly you won’t get the full experience - which is what I suspect might have been happening in your situation.

In the screenshot below, you’ll see that it’s showing a pretty wide open range of times and I know for fact I am definitely not available for a bunch of these. This is because I’m not logged in. If I click the “Show times you’re free” button, it’ll prompt me to login to my Calendly account.

 

Once I’ve done that, I’ll continue to see a list of times but now with a green dot to indicate times I’m available.

If you’re logged in and still not seeing the right unavailability, it’s possible you haven’t synced the right calendars such as sub-calendars or your calendar is utilizing free blocks instead of busy blocks.

Thanks so much for your swift reply. I checked to see if I’m logged in just as you suggested. I confirmed that I’m logged in, I have the correct calendar synced, and this is what I see:

This all looks fine except for the fact that my synced Google calendar has an event from 4-6 on Wednesday, October 30 (see below).

In Calendly settings, I don’t see an option to select sub-calendars. Do I need to delete my current sync and try again? I did confirm that I’m using busy blocks on my Google Calendar.

Thanks for checking everything.

Okay, so let’s dig into that “Lowell Tutoring Pickup” event.

While in the event look and see what calendar it’s on. Both the available/busy setting and the calendar will be down in the bottom third of the event details. As you can see for the one I just screenshotted, I’ve got it on ‘General’ and it’s set as ‘Busy’. ‘General’ is in fact one of the calendars I do pull into my Calendly account, whereas another sub-calendar I have called ‘Community Team’ is not.

 

If that event is in fact on a different calendar, you’ll just need to connect them or modify which calendars are being checked. The GIFs in this Help Center article do a pretty good job of showing what you’re looking for.

Here’s the details of that event (see below). I covered up the calendar name because it’s my name, but it is the only calendar in my Google calendar account. There is no drop-down menu and no other choices.

 

 

What also doesn’t make sense is that this is what I’ve set my availability to (see below). Based on this, shouldn’t Calendly not show any slots after 3PM anyways? I’m confused.

 

 


Hrm. I need to check with some peers and see if they’ve got any other ideas what might be going on with that event. I feel like we’ve checked everything that should be checked!

As for your second screenshot, that is specific to scheduling through your Calendly. When you book events on someone else’s Calendly, your schedule doesn’t apply. The reason being is that you could be trying to book something outside of normal hours - perhaps a workshop or tour on a weekend or a parent-teacher conference after work - and in those instances your schedule would get in the way.
