Calendly is not showing the guest's email on the invite

Hey there @Fernanda54037 - thanks for your post!

When you say that Calendly is not showing the guest’s (invitee’s) email address on the invite/Google Calendar, what exactly are you referring to? 

Do you mind giving me some more context, perhaps even including a screenshot or two and explaining the flow of what is happening vs. what you are hoping to see happen?

Yes, please see attached the 2 screenshots, in one it’s only showing the organizer email, and in the other one it shows both emails which is how it should be. Maybe it’s a configuration we need to activate

Unfortunately, the screenshots didn’t come through with your post. It says “2 Attachments” in bold but there is nothing there. 

Note: rather than using the “attachment” button in the tools of your comment section, try “copying” a screenshot to your clipboard and “pasting” it into the text field of your comment. That works for me every time!

Hey again @Fernanda54037 -- thanks for your patience and for getting those screenshots over to me. I can see them both, now.

I do see that in the first, the host and invitee names are both listed + the host and invitee emails.

I also see that in the second, there is only one name in the title of the calendar event as well as only one current attendee. The invitee’s name is in the title and is listed (written) in the event details underneath the organizer’s name.

The calendar event says “1 yes” (the host) which leads me to believe that, when the invitee received the calendar invite, it’s possible they accidentally forgot to click “yes” or that they clicked “no.” Is this specific booking listed in the host’s Calendly account under “scheduled events” > “upcoming”? Or, is it by chance instead under “scheduled events” > “cancelled”? If it’s under “cancelled” that would potentially explain the issue.

Otherwise, here’s what I suggest: 

  • have the host of these events head to their “Calendar Sync” page and disconnect their Google Calendar connection
    • they can do this by clicking the trashcan symbol by the calendar connection
  • have them reconnect their Google Calendar connection
  • have them book a test event
    • they can do this by visiting the live booking page for the same event listed above, “30 Minute Meeting,” and booking the same way an invitee would
    • make sure they enter an email address on the booking page that is not the same email address they use to log into Calendly, so there is not confusion about which emails coming through are for the test host and the test invitee
  • if the test event has all of the expected details on the Google Calendar event (both the invitee and host as attendees, both emails), then the issue was likely a blip of some sort and is resolved
  • if the test event does not have the expected details, please reach out to our support team for more personalized troubleshooting

Hi, I have same issue, just 1 guest shwing (the organizer). The invitee is listed but not as a gust of the meeting.
It is a test with my personal email so I can confirm the invitee has well accepted (yes) the google meeting invitation on her hand. 

On the side of the invitee, it is same thing: just 1 guest, the invitee herself.

It is annoying of non seing the other person status in the meeting. It looks you will be alone. It doesn’t encourage to connect. 

 

 


Same issue. This appears to only affect certain types of booking links. For example, my coworker and I share a set of booking links and the shared ones behave correctly (meaning the guest list shows more than just a single person/host), however my personal booking link has this issue. So far I cannot find any settings that affect this behavior.


Update, it looks like what caused this for me was “communications” option defaults to “Email confirmation”.

To correct:

  1. Find the applicable Event type
  2. Edit it
  3. go to Communications
  4. Click the 3 horizontal dots for the “Email confirmation” and click edit
  5. Click “Switch to calendar invitation”
  6. Save and close

Update, it looks like what caused this for me was “communications” option defaults to “Email confirmation”.
