When a client cancels an event, Calendly displays message below. Is there any way to change the text and make it friendly when someone cancels the event?

“Refunds are not processed by Calendly and are subject to the Calendly User's payment terms. Please contact the Calendly User if you require a refund.

Hey there @servatmand - great question! Thanks so much for posting this topic.

I wish there was a way to customize the text displayed regarding cancellations/refunds, but at this time there is not! I hate saying “no” and almost always have a workaround to offer but this is a case in which there isn’t any way to work around this.

That said! Your feedback is valuable to us and I am going to make sure it’s included in our monthly report for the product team.

If you have any other questions about your Calendly account and its functionality please let us know! Check out our New User Guide and our Company Admin Guide as well. Have a great day!

Thank you @Kelsi at Calendly. That would be great to see a possibility to change the text in the future. Appreciate that.

Hi @Kelsi at Calendly,

There is an email automatically sending to clients when event cancelled. I was wondering if we could just stop this email or change the contents of it.

Thank you in advance.

Hey there @servatmand - great question! So, here are the notifications that are going to be automated and unable to be personalized:

  • the booking notifications that you, the host, receives via email every time an invitee books
  • the cancellation notifications that you and invitees both receive notifying of cancelled bookings
  • it is not possible to turn off notifications entirely - invitees will always be informed of cancellations and receive booking confirmations (emails or calendar invites) as will hosts

However, if you have Workflows set up you can always personalize these (emails and SMS).

I hope this helps!
