Connect Outlook 365 Calendar

Hello everyone,

I have a few questions regarding the use of Outlook 365 calendars.

We have three branches and need three different calendars per location. We have linked one calendar with six sub-calendars to Calendly.

How can I link the different schedules to the Outlook sub-calendars? Or is that even possible?

With Calendly + Outlook 365, you connect your Outlook account once at the user level. You can choose which Outlook calendars and sub‑calendars Calendly checks for conflicts, but you can’t link specific Calendly schedules or event types to different Outlook sub‑calendars. Calendar connections apply to all event types for that user, and Calendly can only add new events to one selected Outlook calendar.

What is possible today:

  • In Availability → Calendar settings → Calendars to check for conflicts, you can select up to 4 of your Outlook sub‑calendars for Calendly to respect as “busy.” (If you have many sub‑calendars, Microsoft only sends Calendly the first 10.)
  • In Calendar to add events to, you pick a single Outlook calendar where all Calendly bookings from this account are created. That destination can’t vary by schedule or event type.

If you need each branch’s bookings to live on a different Outlook calendar, common workarounds are:

  • Separate Calendly users: Create one Calendly user per branch, each connected to its own Outlook calendar. That way, each branch’s links write to a different calendar, instead of trying to split one user’s bookings across multiple sub‑calendars.
  • Automation to route events: Keep a single “add‑to” calendar in Calendly, then use Outlook rules, Power Automate, or an integration tool (similar to how we recommend routing events into a room sub‑calendar) to copy or move events into the appropriate sub‑calendar based on location or other fields.

So in short: you can pick which sub‑calendars Calendly checks for availability, but you currently can’t map different Calendly schedules to different Outlook 365 sub‑calendars for where events are saved.
