Love the managed event feature. However, we need to create private booking links for my organization and there doesn’t seem to be a way currently to toggle them as Private Only.

To your question: as with all event types, in order to make an event “secret” you will want to go into to event to edit it > click “When can people book this event?” > scroll down and click “Additional rules for your availability” > click to make the event “secret” > click “Save and Close.”

What if that is missing from the managed event.  I’ve looked up and down to find this feature and can’t locate it.  I’ve had to resort to manually setting the event to secret for every user but there are over a 100 users I need to configure manually as well as monitor to make sure they are not changing this back visible.

Hey there Javier! Great question!

You will not see the “secret” option when editing from the “managed events” page. This is because this option is at the user level - able to be edited from the user’s individual versions of the managed event. Making an event “secret” is not a lockable section as this impacts how the link can be shared etc. So, you’ll either want to let your users either turn this on or leave it off as desired, or you’ll need to edit it for each of them as you are now.

Requiring us to manually set the event to secret for every one of over 100 users makes a “managed event” unmanageable. It requires time consuming effort to manually configure each one and then monitor each regularly to make sure they are not (accidentally or unknowingly) changing it back to visible.


Stumbled across this feature request and I have to say….this is just yet another area where I’m very confused with Calendly and struggle to get it to fit our needs.

An event that is “managed” should be fully managed. And Managed Events seem far less powerful than they could be.

For example, we do a lot of serving events through API calls. As part of that, we need to create “Managed Events” that are secret...otherwise, public events will just show up on team member’s page for which no one should be scheduling outside of a request through OUR tooling.

 

Without being able to use this setting, it’s unmanageable. The whole point is to set it and forget it but now I have to ask the team to make secret all events that we should be managing for them and remember to ask them to do this as we add new people to the team, etc.

 

All of this is UNMANAGEABLE.


Adding on to the above, is there a reason why when I update a managed event that it doesn’t automatically update to all of the users in the group that it’s assigned to, I have to un-assign folks and then re-assign those folks for it to be able to showcase the update on the event.

I would think that it should dynamically update if it’s a managed event and push the update on the event to those users that have been assigned to it.

In this case, in order for managed events to automatically send updates to assigned users, those sections must be Locked. To do this, just go to one of your managed events, selected a section, then disable Allow Editing by Assignees:


Once disabled, any updates to that section will update automatically to anyone assigned.
