Hi,

Is it possible to create a group event (ie multiple attendees) that does not include me? I want to others to be able to schedule a meeting but I do not want this meeting to be added to my own calendar.

Basically, I have a shared office space that I want people to be able to book but it should not be in my own calendar as unavailable time in my schedule. Hopefully that makes sense.

Thanks!

Hey there, Daniel! Great question! Firstly, check out our New User Guide - it’ll def prove helpful as you get used to the platform!

At this time there is no way to schedule Calendly events that do not include a host. However, a workaround could be:

  1. Add an additional user to your Calendly organization (using your own alternate email address)
  2. Create an event type under the secondary host
  3. Use a secondary “add to” calendar or no add to calendar on this profile
  4. Use a secondary “check for conflicts” or no check for conflicts calendar on this profile
  5. This secondary host will be the host of the Group ET without impacting your own availability

Keep in mind you will need to purchase a second paid seat for this additional user, requiring you be on our Standard or Teams plan. You can read more about our plans, pricing and features on our Pricing Page! Note: an annual subscription will result in a 20% discount for all paid plans!

I hope this helps!

OK thanks. This is a reasonable workaround but one that will increase the cost of Calendly by 100% to achieve something that should be pretty simple.

What about creating a separate schedule or calendar within my google calendar that I then deselect when syncing within Calendly?

I followed your advice to create a second user and add it to my calendly and then create an event with that user as host. But now all I get is "Unauthorized" errors. So I've now paid 200% the cost and am having my time wasted by not being able to do the one thing this extra cost was supposed to solve. I basically need to sort this out within the hour.

Thanks
Daniel

@Daniel85051 - I’m sorry to hear about the confusion!

Let’s address your concerns in order.

  1. Creating a separate schedule/calendar within Google Calendar is a great idea, but, you will ultimately still need to be the host on your Calendly events. The calendars you select in your Calendly account to be checked for conflicts and “add to calendar” apply to all of your event types, at this time. For that reason this is not a viable workaround.
  2. I am so sorry to hear about your frustrations with “unauthorized” errors. For future reference, if you need timely assistance please reach out to our support team when logged into your Calendly account so they can assist you more quickly via live chat.
