How can I reassign a Round Robin meeting to a different team member (host)?

We’re using Calendly’s Round Robin with “maximize availability” setting to let our appointment setters book meetings for our sales team. It’s working well, but occasionally we need to manually switch the host for a specific meeting.

Here’s the issue:

  • Once a meeting is booked through Round Robin, it’s assigned to one of the sales reps based on availability.

  • If we delete and reschedule the meeting, it goes through the Round Robin logic again, which could result in assigning it to the same rep or a different one unintentionally—but not necessarily the correct one we’re trying to assign.

  • What we need is a way to reassign the meeting to a different team member without rerunning Round Robin or deleting and hoping the correct person gets picked.

Is there a way to change the host of an already-scheduled meeting from one user on our team to another—ideally:

  • Without having to cancel and rebook entirely

  • Or by allowing a manual override during rescheduling to pick the intended rep directly

If this isn’t currently possible, is there a workaround you’d recommend to make this process smoother?

Our team is working on implementing a change that will allow you to either reschedule a meeting through Round Robin, or assign it to a specific host. I don’t quite have a timeline on when this would be released, but I can say its being worked on as we speak. We’ll update the community once we hear more. :)


Got it, I understand that you don't have a timeline, but do you have a rough estimate? 1 week? 1 Month? 6 Months? Longer? 

This is pretty crucial for us, we don’t want a meeting to be locked to the original host if the host isn't the best fit or cant make it to the meeting for some reason. 

Hopefully this is very soon, please let me know if you have a rough timeline.

Hi ​@John83586 - Just did some digging here - Can you confirm for me what happens when you select Reschedule on a Round Robin event? You actually should be able to see a choice when you select Reschedule like so:
 

 

If you can send a screenshot or a video of what happens that would be great!


Here is a video of us using the reschedule link. We do not have the option to reschedule through round robin or choose someone to assign to. We have two sales reps with availability on the Thursday that I clicked. One only has 10:00 open, and the other has several other slots open. The person who was originally assigned the meeting is the one with the 10:00. We cannot change who to assign the meeting to, and we cannot choose from the additional availability of the other person.
