I have a team of New Client Onboarding Specialists, and I have a team of Translators. How do I assign a host from each team with the client?

Hi @Tai.Larson! Thanks for reaching out here.

Could you tell me a little more about your use case? Did you want to make it so an Onboarding Specialist and a Translator gets assigned to the same Client when booking? If so, you can look into Scheduling with Multiple Groups of hosts. This is a newer feature thats being worked on, so it may not be available to you just yet, but you can look over our help center article on this here: How to schedule with multiple groups of hosts

This feature will allow you to create multiple pools with One Specialist, and one translator. So once a user books, a team of those two would be assigned! Let me know if you have any other questions on this.

To clarify, I’m wanting to schedule two hosts, one host from Pool A (New Client Onboarding) and one host from Pool B (Translator).

It doesn’t appear that I’m on the beta per your link, How to schedule with multiple groups of hosts, so I cannot try to see if that would resolve my problem. If I could have access to that beta, I would give it a try.

Hi @Tai.Larson

I checked your account and it looks like these features should be available to you. Can you try making a new Round Robin event under your events page? When you go to create it, you should see an option to Add Round Robin Pools and + Add Round Robin Hosts to pool. In this case, you want to create two pools, one for onboarding and another for translators. The Page will look something like this:

To find this option, just go to your account under the Event Types page, then select Round Robin:

If you need further assistance in locating the option, or if the option isn’t appearing for you, I’d recommend chatting in with our support team who can offer a Zoom or a screenshare to see what might be going on! 🙂

Let me know if you have any other questions.

It appears that this feature isn’t available under Team “page”. I had to create it under my account.

That was my confusion for creating it. Is it possible to create this type of event under a team page? Or how do I make it available for others to use? After I create one, it doesn’t show up in the Teams page.

Thank you for all your help so far.

Hey @Tai.Larson - Thanks for reaching back out.

Yeah I did some testing on my end and it appears this is available for Shared Round Robin Events currently, so they won’t work through a Team Page. However, I do know our team is working on adding to that functionality.

In this case, once you create your shared round robin event, you can add hosts to it during the creation process, then, you can edit the permissions for the hosts to ensure they have the ability to view or edit the event:

The Shared Event types will need to be created under your account, but once created, the other hosts can use it. Let me know if you have any questions!

Awesome, this gets me most of the way there. For now I’ll create a separate webpage on our main site that will host the links to these calendars. Not the prettiest way to do it, but it should get the job done. Thanks much for your help.
