Hello Calendly Support,

I am trying to schedule a group event using Calendly, but I am having trouble managing the time zones for attendees located in different regions. Specifically, I want to:

  • Set the event in my local time zone, but have it show correctly in the attendees' time zones.
  • Ensure that when I send the invite link, attendees see the event time in their respective time zones.
  • Prevent any confusion when attendees from different time zones book their spot in the event.

I’ve checked the help articles, but I’m still not sure how to best handle this. Could you provide a step-by-step guide or any tips on how to make this process smoother?

Here are the details about my setup:

  • Calendly account: Pro plan
  • Event type: Group event
  • Time zones involved: US Eastern Time, Central European Time, and IST (Indian Standard Time)

This is something that actually happens by default! Once you create your Group Event, you’ll just want to make sure your timezone is set under the Scheduling Settings page. Once this is confirmed, anyone who visits your link will see it in their own timezone, but only times that match up with yours.

Once they go to book, the calendar event will populate for them in their timezone, but it will still match up with yours. Is there anything specific you’re running into? Any issues you get when you go to configure this? Let me know! I can provide more help from there.
