How does Calendly work, and what specific features does it offer to streamline scheduling processes for individuals and businesses?

Calendly is a scheduling platform that essentially sits on top of your connected personal calendar. It checks for events marked “Busy” and interprets them as conflicts, preventing invitees from scheduling new events at those times.

When an invitee schedules with you, the event is automatically published to your personal calendar and appears on your Calendly Home page under Scheduled Events. Both you and your invitee receive confirmation by email as well, helping to streamline scheduling for appointments, meetings, and more!

 

The features offered that help streamline scheduling largely depend on the plan that you choose! Our free - basic plan allows you to connect one calendar, set up your Availability Schedules, access basic integrations such as Zoom and MS Teams and have one active one-on-one event type. Our paid plans all offer this and more, and I will provide an overview of each, below!

Teams
Our Teams plan is:

  • $16/user/month (billed annually)
  • $20/user/month (billed monthly)

For the admin that wants more, including Salesforce and Round Robin.
Teams features include Standard features, plus

  • Connect to Salesforce to flow meeting data into the CRM
  • Round Robin events
  • Route leads with Hubspot, Marketo, or Pardot forms
  • Lock and sync admin-managed event templates

 

Some examples of features that further aid in streamlining the scheduling process: 

  • Routing forms let you request information such as industry, company size, specific interests, etc. from website visitors and automatically direct them to a specific scheduling or web page based on their responses. It's great for screening and qualifying sales leads on a website or matching clients or students to the booking page of the right subject-matter expert based on their interests, program, or other criteria.   • You can redirect invitees from the booking page to another website of your choice. 
  • Our Workflows feature allows you to send followup emails, reminder emails and SMS messages and more to invitees based on the event type they have booked. 

 

We have plenty of resources for you to learn about creating a team and setting up team events! This information is perfect for businesses and applies to those on our Professional and Teams plans. The first step is adding your desired team members to your account from your Admin Management page. Then, you can set up a team page. Your team page will have all of your events specific to that team: round robin or collective.

Round Robin events will allow your invitees to book an appointment at any time at least one assigned team member is available. Collective events allow invitees to book an appointment when all assigned team members are available.
