How to create 5 different schedules.

I have my schedule and I have 4 other people to schedule for.  All availabilities are different.  I’ve customized everyone's schedules.  Is there an easier way to do this?  I am afraid to go in and work on the February schedules/availabilities because I don’t want to mess with January’s schedules.  Will that happen?  What is the best way to do 5 different schedules?  Can I make one large Default and use that and customize from that?  Thank you in advance.

Hi ​@NORTHLAND37216 - Thanks for reaching out.

To be clear, are you booking all of these users through one account? If you are, just be aware that once a time is booked, that time would be made unavailable to all other events. So if someone books Monday at 8am, that time would no longer show for the other events in your account.

That being said, I think managing these through the 5 different schedules would be best. This way you can try and get them on their own schedules that won’t overlap with one another. As long as you’ve created these schedules through the availability page, I don’t see any reason why working on February’s hours would cause an issue. You have access to view the hours through a Calendar, so you can select groups of dates, or multiple days at once and add in the hours as needed:
 


So instead of changing the weekly hours each month, you can go through the whole year and adjust the times for each specific schedule.

Hello David!  I have many, many questions.

Today I got two schedules in on one calendar.  I’m going to add the other 2, hopefully.  If I have my date range set, will those dates and times stay within that date range?

I really need to figure this out because it stresses me so bad.

I do not want to go learn a new platform.  I’d like to zero everything out and start over.  I’d put in everyone’s times and then go in and adjust the calendar to what should stay and what should go per the day.

My biggest concern is making next months calendar and messing up this month’s schedule.  Will the specific date range keep that from happening?

I’ll add a little more context here - With Availability Schedules, you’ll have two ways to manage hours:

  1. Weekly Hours (Pictured on the left): These are repeating hours that occur week after week., so any changes to your Weekly Hours will adjust it for the rest of time.
  2. Date Specific Hours (Pictured on the Right): Only occur on dates you specify, and won’t have any impact on any other days.

 

 

For example, my Weekly Hours say that I’m available 8-4 M-F. However, between Jan 20-22, my hours change to be 730-3pm.

Now if you’re working with multiple users whose available changes month-to-month, I would suggest just using date-specific hours, as these will have no effect on previous months schedules. So you’ll be free to change all of February without having to worry about any availability in January.
