How to schedule a drop-in hour?

As a post graduate teacher, I would like my students to be able to book certain windows of time with me to just meet one-on-one. I’d also like them to be able to view “drop-in” times on my calendar where I’m available for drop-ins, but not bookable for 1:1s. Is there a way to do this so it’s clear when they click on my booking page?

Hi @Kathryn35068!

Hmm. Have you considered using a group event for the drop-in times? I’m thinking it would let you have an idea of who will be dropping by during that time, put a reminder on their calendar (increased likelihood of follow through), and allow you to leverage workflows to send out communications. You could set a limit on the group event based on how many students you think you could reasonably talk with or leave the maximum open ended.

I appreciate your reply! I wanted to chime in because ​@Kathryn35068 is really on to something here! I am looking to do exactly what Kathryn described and the group events don’t really fit the needs of what we are looking for. We recently moved to Calendly from another scheduling system that had a drop in option and this is the feature our team misses the most. I see over 100 views on this post, so it is something that other people are looking for as well. Is there a way to request features from Calendly?

It definitely is something that people have brought up before, and I’m glad you mentioned something as well! I can pass this along to our product team for them to review, with more support, hopefully we can see this added on to the future.

If you have any other questions about getting started, or any new feature ideas, don’t hesitate to let us know!


I ended up creating a “small group drop-in” appointment type, then capping that appointment type at 3 people (because that’s how many chairs my office had!) In the appointment type, I specify that my 15 and 30 minute in-person and Zoom events are for 1:1s, and the drop in appointments might be shared between up to 3 people, so they can choose what kind of appointment they want to do. I still think it would be great to have a more informal “drop-in block” that I can put on my viewable calendar, where students can see I’m in my office but not bookable for appointments.
