I am new to Calendly, but love the concept.  Problem is that I am organizing these events on behalf of my boss, so I’m wondering if I can still use this service??

When I create the event I would need to have him show up on there.  When I just created a test one, the email it sent said between the person and myself, so I would need the email to show from “Karl Weiss” and not Adam Bishop.

Basically, this would be great if I could organize, but he would be there as the host and be involved in the setting of the meetings and the reminder process.  We also use his Zoom account, so would be great to be able to incorporate that as well.  Am thinking we just need to connect our accounts and everything, including the Zoom account, could be connected?

If anyone knows, I would greatly appreciate a response!  Thanks so much!

We’ve seen a lot of customers come through and ask this, and theres a couple of ways we can make this work!

First, most customers will create the account, but connect their boss’s email, zoom and calendar with the account. This way you can access and manage the events, but any bookings will add to the your boss’s Calendar and create a Zoom meeting with his account without you having to intervene.  

There are a couple of moving parts, but it works for a lot of users. Let me know if you have any questions!


NIce, this makes sense and I appreciate the reply!  To connect his email, would I just click the ‘Add user’ next to my profile?  Or would he create an account and then he would add me?  Maybe this is in the link for connecting the calendars, so I’ll look there, but was just wondering the best way for us to connect accounts.

If you aren’t planning on hosting meetings yourself, you can just connect his calendar to your account and set it as the Add to calendar. This way, you won’t be charged for an additional seat. 

The link to add his calendar will be the place to go! This way after connecting his calendar, it will check for conflicts and add new events to his calendar.

I tried adding his calendar to my account, but it wouldn’t let me add anyone else’s calendar.  I could add an Outlook account, but then have to login with his credentials to get it added.  Is that the best way to do it?  I don’t know his credentials, so this seems like maybe there is another way?

We also have only the Trial addition at this time, so wondering if maybe we have less capability with the trial version?  


Hi ​@Adam_MPIhcr - Yes in this case you would need to have him log into his Outlook account through that connections page. This would be best if you still wanted to manage the meetings and have Calendly check his calendar for conflicts.

Is there a specific error that you get when attempting to add the calendar? Support is also a good resource if you’d like someone to walk you through it while you’re on the trial! You can chat in at anytime through your account. :)

Aha!  I’ll use Support -- I thought maybe you were their version of Support :)

And thanks for this info. It would be ideal if he could somehow add his Outlook info there rather than myself, but I’m thinking there may be a different and better way to get us connected.  Again, I will try Support for this though.

You can still use Calendly to set meetings on behalf of your boss. The easiest way is to add him as a user in your Calendly account and give him the right permissions so events appear under his name. Once he connects his own Zoom account, you can link it to the event types you create for him, and all invites and reminders will show him as the host.

I do something similar when organising business meetings for my team, and I often arrange transport with SALLimo so the schedule runs smoothly from start to finish.
