Is there a way I can separate my appointment times with limits? For example, we’re creating an appointment for 4 attendees, but we’re breaking it down to 2 males and 2 females (it's for animals, not humans...). Is there a way to set an appointment up with those choices? So there are 4 in total, but two different types. Or even if I could set up a 10:00 am and 10:05 am appointment (limited to 2 attendees) - could I title one “male” and one “female”?

I can only assume given the username and the mention of “animals”, that this is regarding cats. Tell us more! Rescue? Cat club? We’re kinda massive animal lovers around here. In fact, we rarely answer questions without a dog, cat, or lizard nearby!

As for your question, you’d need two separate group events to make this feasible. And since Calendly is truly on a mission to make sure you’re never double booked or supposed to be in two places at once, you wouldn’t be able to have these 2 group events running concurrently on the same account since any booking on one event would show a conflict for the other.

The best solution for this scenario would be to have 2 user accounts under the same team. One account has a calendar and group event for girl cats and the other account has a calendar and group event for boy cats. You can show both event types on the same team page which takes the guesswork out for any cat paw-rents.

The only other thing I can think of would be spacing out the events - sort of like you suggested - but making sure they don’t overlap. I’m not sure if that’s feasible at all! For example, could boy cats have their “appointment” start at 10:00 and run until 10:30, whereas girl cats run from 10:30-11? If this is something like dropping off for spay/neuter which would be a multi-hour thing, that could potentially work!

Let us know. We’re here to help. And if you just happen to share a link to whatever cat related thing you run or a picture of cats, we won’t complain one bit. 🐱

Amazing! We’re a non-profit cat rescue (Kitty of Angels in LA!) and we work with foster families to schedule their spay/neuter surgeries at different clinics. We’re trying to make it easy for us to see who is scheduled and where while making sure foster families get reminded of the appointment with post-surgery instructions, etc.

It worked like clockwork with one clinic who just allows us to bring in 5 cats weekly for surgery, but the new clinic we’re using breaks down by gender, so we can only schedule 2 males/2 females per appointment day.

We’re essentially just scheduling the drop off time, so I could have two separate times, but I’m wondering if there’s a way that it can say when scheduling that the 10:00 am slots are for males and the 10:15 are for females. Because people get confused easily.

I was also hoping I could have them all on the same appointment with different locations listed for different days, but that’s not possible, so I was setting up different events which I’ll link on our appointments page.

And here’s our little one-eyed foster kitten, Phoebe, for fun. :)

Phoebe! I am in love. I am going to bet that little lady doesn’t let the monocular vision slow her down one bit, huh?

Thanks for the additional info. Ok, so let’s figure this out for ya (and the kittens)!

  • Need to coordinate drop offs; able to space out time which keeps us in one calendar
  • Gender needs to be considered; only 2 per each drop off slot
  • Multiple locations

It sounds like using a routing form could be really ideal for you. This would let you have all the group event types behind the scenes, but the humans making the bookings would interact with you via a form. So let’s say someone has a girl cat and is located in east LA (or however you want to geographical chunk out LA; I know it’s not exactly a small place), you could direct them to the ‘girl cat east LA’ event type. From there, they’d be able to see which days have availability and be able to make their booking.

And you might already know this, but workflows can be applied to multiple event types and easily updated across all applied event types. You can even set them up to fire a specific number of hours later, include a link to a follow up event, etc. This would be so helpful for sending out directions for leading up to the spay/neuter, care instructions, checking in, etc.

Hope this helps and please let us know if we can do anything else! And thank you for sharing Phoebe with us. If I was around there, I’d be asking for an intro to her and Miso.

Wow. This is incredible. I’ll look into all this. I wish we had a tech person to do all the setting up. LOL.

Hey! Just wanted to let you know that I set up a routing form and it’s *chef’s kiss* - THANK YOU! And our hope is to add more clinics so it’ll be an easy way to just add on while keeping just one form embedded on the website.

Hey! Answering because Jillian is not online today - this makes me so happy, and I know it will her, too! I’m so glad her advice was helpful, and I am in LOVE with Phoebe! Have a great weekend, and thanks for the very important work that you are doing (I have several rescue animals, to include cats, a dog and a gecko, myself).
