Looking for Calendar solution

We have a nonprofit where volunteers on our team meet to consult with individuals from the community.  There aren’t many team meetings, there are no sales, etc.  We just need to individually be able to show availability and have ‘clients’ book times that fit, but from a centrally managed system.  Some important items:

  • Individual scheduling (volunteer identifies availability; client selects available time)
  • Online booking
  • Administrator access
  • Confidentiality (volunteers can not see other’s calendars)
  • Ease of use for volunteers
  • Automatic connection to volunteer’s personal calendar (once set up)
  • Virtual meeting option (ideal if each volunteer could toggle availability on/off)

Is Calendly a good solution for us?

I’ve poked around a bit, but don’t yet see how one would set up a team to individually manage their own schedules for independent bookings.  Suggestions on where to start?

Hi @Lorri53506 - Thanks for reaching out!

Yes Calendly will be able to check all of those boxes! I’ve answered your questions and added some resources below:

  • Individual scheduling
    • Yes this is the most basic feature of Calendly. You’ll be able to add all of your volunteers to an organization so they can setup booking pages for clients to setup meetings through.
  • Administrator access
    • We have a TON of resources you can look through for managing your Calendly organization as an admin. You can find all of this HERE!
  • Confidentiality (volunteers can not see other’s calendars)
    • Any user that you add to your organization won’t be able to view anyone else's meetings or calendars by default. You can read more about different User Roles and permissions HERE!
  • Ease of use for volunteers
    • Absolutely! We have a full Getting Started Guide you can send to your volunteers ahead of time. They’ll be walked through everything they need to know: Getting started with Calendly
  • Automatic connection to volunteer’s personal calendar (once set up)
    • Calendars will be connected automatically as soon as they join the organization.
  • Virtual meeting option (ideal if each volunteer could toggle availability on/off)

I hope all of this helps! Once you create an account, you’ll be placed on a free trial for you to try out all that Calendly has to offer. You’ll also have access to our Chat Support, so if you have any questions along the way, they will be more than happy to help!

When you’re ready, you can add more users by following this guide: https://help.calendly.com/hc/en-us/articles/223146067-How-to-add-or-remove-users-and-seats

As soon as users are added, they’ll be able to create and manage their availability and meetings from day 1! 🙂

Let me know if you have any questions!
