I keep getting this (below in Italics) error on every meeting request. When I see it, Calendly cancels the meeting with the requester but not with me. How can I get it to stop this?
“We couldn’t add the Microsoft Teams meeting link to your scheduled Calendly event. Contact your invitees or update the calendar event to add video conferencing details.”
I do’t even use Teams for the most part, can I add some other service like Zoom or Meet as a default?
thanks,

Hey there @Michael06865 - thanks for your post! I’m sorry this is happening.
Firstly, yes! You can absolutely use a different video conferencing platform (including Zoom or Google Meet!) as your location for event types. (FYI, there is no “default” location, in the sense that integrating with any of these platforms will not make them the auto-location for any/all of your event types. You will need to go into each event type that you have and individually set the location, and the location can be different for each. I.e. you can set Zoom as the location for one ET and Google Meet as the location for another, while setting an in-person address for a third.)
I am assuming that your connected “add to” calendar is an O365/Outlook.com calendar? This results in an automatic integration with MS Teams, and then allows you to choose that as your location for event types.
To choose Zoom instead, head to “integrations” > scroll to find, select and integrate with Zoom > head into each of your event types > click “event details” > click “location” > set to “Zoom” > click “save and close.”
To choose Google Meet, you will first need to connect a Google Calendar on your Calendar Sync page. Then, follow the same steps within any event type, selecting Google Meet as the location (instead of Zoom or MS Teams).
Read more about integrating with Zoom here and with Google Meet here. You might also want to check out this article about how to schedule with video conferencing.
Note: Changing your event type location(s) will result in all future bookings having Zoom/Google Meet as the location along with a Zoom/Google Meet link being automatically included in those booking confirmations.
For bookings already made (with the MS Teams error): you’ll need to cancel those bookings and reschedule them once you’ve set up Zoom/Google Meet so that those bookings have new links.
Just in case, if you were to want to troubleshoot this issue and keep MS Teams as your location, I’d have you look at the following:
Is this what the error you are seeing looks like? See below:
If this error is what you are seeing, the following troubleshooting steps should help resolve it:
Disconnect and reconnect your Microsoft Teams integration — either from your Integrations page (if you connected the integration directly), or from your Calendar Connections page (if you connected the integration via your Office 365 calendar connection).
Schedule a test event to see if the Microsoft Teams link is generated as expected.
If it is, you're good to go!
If you need to regenerate the Microsoft Teams links for any meetings currently displaying "Action Required," you can "reschedule" those events for the same date/time they were originally scheduled.
If that did not resolve the issue, then I would ask you some questions about your Microsoft subscription, and tell you that:
Calendly's Microsoft Teams integration requires a Microsoft 365 Business account or an Office 365 Education account.
Thanks this worked for me. Now I need to figure out why Teams is not working.
@Michael06865 I am glad that you were able to set up an alternative video conferencing integration (Zoom or GM) for yourself after reading my above comment (assuming this is what you meant by “this worked for me”)!
The troubleshooting steps I provided for MS Teams should, theoretically, help you figure out what is going on and get it working (if you do still want the option/do still want to use it as the location setting on specific ETs).
The most important steps to note from above are:
disconnect and reconnect the integration (either via the “integrations” tab or your connected calendar)
book a test event to see if a link is included
if a link is still not included, refer to the info I provided about MS subscriptions to see if yours is compatible with Calendly
If all of those steps/that information does not lead to your being able to figure out your MS Teams integration, you might need more personalized troubleshooting from our support team. You can reach out to our support team, available 24/7 via live chat, by logging into your Calendly account > clicking “chat with us” in the bottom righthand corner.
I hope this helps! Let me know if I can assist further. Otherwise, I do hope you have a good day!
Kelsi, thanks for taking the time to provide all this information. Along with switching to my preferred video conf platform, it helped me figure out what was wrong with Teems which was on Microsoft’s end and I was able to straighten that out too.
@Michael06865 wooo hooo! I am genuinely thrilled to hear all of that. Back to easy scheduling, with you!
