I have a global coaching company, and I have 3 sales people based in America, Bali and Mauritius. I would like to have one booking form which will allow the potential client to book with one of the 3 sales members but would like the client to have the option on who to schedule a call with depending on the clients locations, so that its a more convenient time. How best can I set this up?

Hey there @Simon74478 - great question! I appreciate the overview of your use case. It will definitely help me help you! 

So, there is not exactly a way to set up a single booking page for three hosts and also allow the invitee to select the host themselves. Our Round Robin Event Type feature would allow for you to assign all of the hosts to a single event type with one booking page for invitees to use, and each host can set their own location and available hours within that event type - but the invitee will not have any idea which host they are booking with at the time of booking (or even that there are multiple hosts to be booked - the invitee would just know they were booking with a host and then be assigned a host automatically).

That said - I do have an idea that might be perfect for you - routing forms!

Routing forms let you request information such as industry, company size, specific interests, etc. from website visitors and automatically direct them to a specific scheduling or web page based on their responses. It's great for screening and qualifying sales leads on a website or matching clients or students to the booking page of the right subject-matter expert based on their interests, program, or other criteria. You can read more about setting up routing forms, here!

In your case, you’d use a routing form like this: 

  1. Set up three event types, one for each host, on a Team Page (you can use a Round Robin event type as a one-on-one event type for each host - learn how here)
  2. Set up a routing form
  3. On the routing form, include a question for the invitee such as, “Which location would you like to book in?” with the three locations listed as options (you could also consider asking which time zone works best, or whatever else works for you!)
  4. With the answers to that question you will use logic to route the invitees to the appropriate event type (one of the three you created - one for each host)
  5. This will result in each invitee being able to select the host that works best for them and being sent directly to that booking page
  6. You will be able to share the link to the routing form or embed the routing form on your website, just like a booking page - this way you only have to share one single page that still results in invitees being able to book with any of your three hosts
  7. If you add another host to your team, you can create a new event type for them and edit the routing form to include that at any time

Hey - I’ll address the CRM question and then the routing questions, below!


NO CRM NEEDED! 💃🏼 The routing forms I go into detail about above and link to resources for learning about are Calendly native routing forms within our platform. We do offer more advanced and specific routing solutions via integrations with CRMs like Hubspot and Salesforce but that is definitely not required for your use case. 🤗 If you’d still like to learn more about those solutions let me know and I’ll link some resources for ya!

Yes -  you can absolutely set up the routing form to ask one question and go like this: 

Question: “What time zone are you in?” > dropdown options or radio button options (for example) offer the three time zones you are offering meetings in > invitee selects appropriate time zone > routing logic you set up routes the invitee to one of three event types based on their answer! 

Just create one event type for each of your time zones/assign the appropriate host to each event type for their time zone before setting up the routing form/logic. With the articles I shared above (some include video tutorials!) you should be able to take care of this fairly easily - but I am here to help if you get stuck! Good luuuck!
