I’m meeting clients at a specific location (“X”). I need to change the location to location “Y.”

How do I update the location so my clients receive new emails and texts to let them know of the change?

Hey there @rono808 - great question! Thanks for posting this topic. As you are getting your feet wet here at Calendly, check out our New User Guide - it’ll prove very helpful!

Once an event has been booked, any changes you might make to the event type settings (to include location, duration, availability and so on) will not apply to that booking that was made prior to these changes - all settings in place at the time of the booking being made are locked into place. The only way to officially update the location of this booking in Calendly and to make sure your invitee is notified is to cancel the current booking, update the location in the event type settings, then rebook for the invitee. You can do this instead of making them do it by heading to your own booking page and entering their information (taken from their current booking). This will result in their receiving a new confirmation with the updated details (location included).

You can cancel the current booking by heading to your “meetings” tab > clicking “upcoming” > clicking “details” next to the desired booking” > clicking “cancel.” You can then head to your event type settings and update the location. Lastly, head to your booking page and rebook for the invitee with their info!

I hope this helps!

I have an event time where I have a specific Zoom link that I use for that specific event type… my Zoom link has gone rogue and is indicating it isn’t valid any longer.  For any meetings that have that event type with attached location/Zoom link, do I need to cancel and follow the process you outlined? There isn’t a way to manually override/update a meeting type location?

I’m so sorry this is happening. Yes, you will need to cancel and reschedule the bookings after updating the Zoom link in the event type settings. The only workaround here would be to manually reach out to each invitee and give them an updated location, telling them to ignore the link in the event type invitation. I’m sorry for the inconvenience!

I found a tiny hack around this. You can update the location by rescheduling the event and choosing the  same time and date originally scheduled. But before doing this, make sure to have already changed the location of the event type, that way you don’t need to cancel and the invitees still get updated.
