I'm an admin for my Calendly group. When I am inviting a new user, the email isn't going to their inbox. What is going on?

Just to clarify, are you asking why an invitee isn’t getting a notification from a scheduled meeting or are you inviting another user to be part of your team and that invite is getting lost? 

  • If it is the latter, please make sure you are on a Teams account. Also please check that the users you are trying to add to your team check their spam filter and greenlight communications from Calendly. If you are still having issue with this I recommend that you reach out to Customer Support because you may have found a bug. Customer Support Team

For some context, with Calendly, there are two types of notifications: Email Confirmations & Calendar invitations.

With Email ConfirmationsCalendly sends the invitee an email notification from notifications@calendly.com and has a reply-to address that's associated with your Calendly login email. You can modify this on Account Settings page.

With Calendar Invitations, your connected calendar sends the invitee a notification of the booked meeting which has a reply-to address that's associated with your Add to calendar email on your Calendar Connection page.

Note: Calendar invitations are not compatible with iCloud Calendar or the Outlook Plugin (for Windows users). Users with either of these calendar connections set up as their "add-to calendar" on their Calendar Connection page will be defaulted to Email Confirmations. 

In many cases, resolving this issue is as simple as heading into your event type settings (this setting is event specific, so you’ll need to do this for each event you wish to send Calendar Invitations from) ➡️ click “Notifications and Cancellation Policy” ➡️ click “Switch to Calendar Invitations” underneath “Email Confirmations” ➡️ click “Save and Close.” As long as you have a compatible calendar, as noted above, it’s as easy as pie! 🍰

Yes. I’m the admin for our team and I was trying to invite a new user to Calendly. I added the email address, the invite comes from, to her contacts in Gmail and it still wouldn’t send to her. What I ended up doing was creating an account for her on Calendly. Once I had done that, it said that their was an invitation to join. So, I was able to get her set up. But, she still didn’t ever receive an email. Pretty strange. After I had set up the account for her, she received an email saying, “You’re In - Welcome to Calendly” 

 

So, we didn’t get the email invitation thing figured out, but we did get her joined.
