Hi–

I am only receiving about half (?) or so of booking notification emails. This includes both new appointments booked and cancelations.

They are all showing up under my scheduled events, which is good, but I would like to receive an email each time someone books an appointment or cancels one.

These emails are not in junk, and do not seem to be filtered by my email (as I am still receiving some of them)

The most common cause of “some but not all” host emails is that different event types are using different notification types, or your calendar app is handling some of them rather than Calendly. Here’s how to fix it:

What to check first

  • Verify the notification type on each event type. Calendly sends either a calendar invitation (from your connected calendar) or an email confirmation (from notifications@calendly.com). If you want an email from Calendly every time, switch the event to Email confirmation for both new bookings and cancellations.

  • If an event type is using calendar invitations, your email/alerts are controlled by your calendar (Google or Outlook), not by Calendly. Make sure your calendar’s own notification rules are set to email you on new events, changes, and cancellations.

  • Confirm the sender you’re expecting. Email confirmations come from notifications@calendly.com; replies route to your Calendly login email by default. If you’re allowlisting, use that sender address.

How to switch an event to Email confirmations (so you get an email every time)

  • Go to your Scheduling page > open the event type > More options > Notifications and workflows > next to Calendar invitation, open the menu > Edit > Switch to email confirmation > Save and close.

  • Repeat for any other event types where you want an email for scheduled and canceled events.

Add an extra safety net (optional but recommended)

If you want an additional, guaranteed email to yourself (or someone else) every time a meeting is booked or canceled, set up Workflows:

  • Create a Workflow with the trigger “New event is booked” (and another for “Event is canceled”), and add an Email action to send to you. This fires independently of the event’s notification type and can include custom details.

  • You can also use the “Email to someone else” action to copy other teammates or an alias (up to 10 recipients), even if they’re not attending the meeting.

Quick deliverability checks

  • Look for messages in Other/Focused/Promotions or any custom filters. If you’re relying on Email confirmations, add notifications@calendly.com to your allowlist/safe senders so they don’t get deprioritized by your mail provider.

  • If you use Calendar invitations, adjust your Google/Outlook calendar’s notification settings so the calendar sends you email alerts when events are created, updated, or canceled.

I can confirm the same. We do not get any notification about new Meeting at the moment. And I can confirm we have this notification activated in “Communication settings” and changed nothing in recent time. And it worked like 1-2 weeks ago without problem.

It seems like currently there is another issue on Calendly site?


thank you for your detailed reply. I have set up the additional workflow so hopefully that helps.

However, both of my appointment types were set up on email notifications and I am still seemingly not receiving about 1 out of 5 scheduled appointment notifications via email.

I have also not changed anything regarding my notifications, and it worked just fine (I was receiving all notifications via email) until about a week ago.

In this scenario it is likely best to reach out to our support team at support@calendly.com. They can look at your account in real time and diagnose what is going on here. 


I am experiencing the exact same issue. Some of the confirmation and cancellation mails are being received in my mailbox, but others are not being received at all. It’s very frustrating actually. 
All the necessary settings are turned on, so I don’t get what the problem is? 

This is my 2nd problem with Calendly in 1 month. Please fix this issue ASAP. Thank you!
