Hi team,

My team relies on the outlook invitation for all information needed when contacting a client.

The event info such as the invitee’s phone number isn’t coming through and I am unable to find where this information is. It is coming through in the host’s email about the meeting, but this means going back to that email for every client contact. How does this information not flow through to the outlook invite?

Sorry to hear this is going on. You can check to see what information is included in the event emails by going into the Event Settings > Notifications and Workflows > Calendar Invitations. Here, you’ll find all the variables and information thats sent to the host and invitee.



Could you verify that this has the Location variable? This is what pulls from the actual location of the event and adds it to the email. If not, can you send me an example of the email invitation thats being sent? We can take a closer look from there!

Can confirm I have added Location to the invite. I think the issue here is my team will call the client, ie Location is Custom “we will call you” so the phone number won’t carry through.

I have it set as a Team (4-5 people) but looks like the I will call you is only for one-on-one?

 

 

 

 


Got it! Thanks for sending over the screenshots - Yes in this case ‘I will call my invitee’ is only allowed for One-on-ones at this time. However, we do have a way to workaround this.

To get their phone number to appear in the Calendar event thats created, you’ll first want to add a new Invitee question, and call it something like ‘Whats the best way to reach you?

 

Once you have that question added, check the calendar invitation and make sure the variable Questions And Answers , or Answer # (Where # is the invitee question #) is added to the booking confirmation:

 

This will ensure the users who get this booking, will have the contact number right in the calendar event, to remove more of that back-and-forth!
