I am a Talent Acquisition Partner at my company. I coordinate interviews between my hiring teams and candidates. I schedule panel interviews, where 3-4 employees from my company / the hiring team I’m working with attend all at once to interview a candidate virtually. Is there a way to set up a Calendly link, that can be sent to candidates, and they can pick a time that works based on the hiring team’s availability (without the hiring team members having a Calendly account?) We use Outlook. That seems to be the issue I’m running into. It seems that if I do a Collective meeting, and try to add Co-hosts, they need to have a Calendly account. Is there a way to do what I’m trying to achieve?

To answer your main question - Yes, in order to have other users included on a Collective Event, they would need their own Calendly account and be part of the same organization.

However, I think there could be a way to workaround something like this to achieve what you’re looking for.

  • First, you can connect up to 6 connected calendars that each have their own sub calendars. You could create a sub-calendar and have your team members fill in their busy times - then connect that with Calendly.
  • From there, you can also create a Workflow that sends emails to non-meeting participants, so you could configure it to send an email to the hiring team once an event is booked : How to send Workflow emails to non-meeting participants
  • Once you share this link, it should look at the availabilities of each calendar, then send emails to each team member.

Its a little complicated, but could be a workaround in this case.

The other option is to add these users to your organization, then add them to the collective event - which would be a bit more simple. Let me know if you have any questions!
