Hi, I work with a team who are responsible for booking meetings on my behalf. Calendly is great as customers can book directly seeing my availability, but it would be great to be able to have a notification or email sent to my team-member when someone books time.

 

I tried to setup a dedicated event for the team-member to use and then a workflow so for that event they also get an email, but it doesn’t seem possible….. Is there a way?

At this time, Calendly will only notify the Calendly user that is booked with the event (the host), and the invitee. Workflows cannot be set up for an additional user. That being said, we do have a workaround that may help!


You can set up a forwarding filter in your email inbox to automatically forward all emails received from notifications@calendly.com. You can even forward notifications for a specific event type by filtering by subject titles that include the event type name. This will not post the events directly on another calendar, but it may be helpful in making this process a bit easier if that is needed.

Hey ​@Jeff88462! Good news — we just released a Workflows update that should work for your needs. 🙂

Use the new “someone else” recipient for Workflows to automatically send an email about a meeting to someone who is not a host or invitee. You can customize the email to include specific context or instructions so the message is tailored to the non-attendee and your processes. This means Workflows are even better than a forwarded or CC’d email!
