Hi. 

I have a situation I don’t know how to set up., assuming it’s even possible.

We have two people on our Teams account. Each of us has our own schedule, sometimes we’re both here, sometimes just one of us is, and sometimes neither of us are here. When we’re both available we want a max of two 20 appointments each hour - not overlapping.  We’d like appointments to start on the hour and the half hour.  Ideally there would be a way to divvy up our clients into each of our calendars. 

Also, we don’t want the clients to choose who they will be meeting with. They’ll get whoever happens to be there at the time they choose. 

I had hoped we could use Round Robin to make this work, but it seems there is no option for us to call them at the appointed time. 

Is there any way we can meet all of our needs??

Round robin sounds like what you need, but I’m curious to understand what you mean when you said “there is no option for us to call them at the appointed time.” Can you elaborate a bit so we’re able to better help you find a solution?


@jillian When I attempt to create a Round Robin event the option to call my invitee is greyed-out.

I have to admit I just learned that option is grayed out intentionally (and in the process also found an adjacent bug I’ve submitted to engineering). In my quest to not leave you without an answer or solution, I’ve discovered the best way around this is to leverage the custom location field instead and then set a required question for the invitee’s phone number. It’s not perfect, but it’s way better than no option at all.

I’ll also send the feedback along to Product that the option should be available and you shouldn’t have to use this workaround.


@jillian is there a way we can avoid scheduling overlapping our meetings? 

 

I ask because we want to be able to cover each other’s calls should the other person unexpected become unavailable.

There is unfortunately no way to avoid potentially overlapping meetings between the two of you. Round robin looks to optimize availability for your invitees, so any free time from either of you is fair game.

But it’s definitely something I’ll pass along to Product. We’ve heard it a few times!

Thanks for your help. I’ve got another question though. When it asks for “Daily Limit” for Round Robin events, are you asking for the total limit for the two of you? Or is the limit meant to be individual. 

 


@JessicaJSA The limit is across individuals. So if you set it for 2 and have 2 potential hosts, you’d have 4 potential events per day.
