Two hosts via one Calendly link

Hello together, hopefully somebody can help 🙂 I am wondering how I can sum up two users at one calendar? So our customers have one topic and then they have the choice with whom they will get in contact...user 1 or user 2. do you know what I mean? Thank you!

Hey @FinKlar03108 - sure thing! In order to do this you will need to be on either our Standard or Teams plan, and you will need to add an additional user to your plan. You can read more about our plans, pricing and features on our Pricing Page! Note: an annual subscription will result in a 20% discount for all paid plans!

We have plenty of resources for you to learn about creating a team and setting up team events! The first step is adding your desired team members to your account from your Admin Management page. Then, you can set up a team page. Your team page will have all of your events specific to that team: round robin or collective.

Round Robin events will allow your invitees to book an appointment at any time at least one assigned team member is available. Collective events allow invitees to book an appointment when all assigned team members are available.

You’ll want to use a Round Robin Event Type to meet the specific goal you have - created on a Team Page. Read more below!

HI Kelsi, thank you very much for your prompt and detailed reply. So I have upgraded our account to “Team”… my “problem” … finally it seems that the customer will get an advisor per coincidence. But he/she should have the choice on itself if he/she like a date with our advisor A or our advisor B. Do you know what I mean? 🙂 Thank you in advance. 


Hey there @FinKlar03108 - I totally know what you mean!

So, using a Round Robin Event Type, this is exactly what will happen. You will assign multiple hosts to the Round Robin, and an invitee booking that event type will be given whatever host is available for that time slot.

If you’d like to allow the invitees to choose whomever they’d like to book with, I suggest creating an event type for each host (you can use a Round Robin event type on a Team Page as a one-on-one event type - read more here). Then, use our routing forms in order to allow invitees to be auto-routed to the host they should book with. 

Routing forms let you request information such as industry, company size, specific interests, etc. from website visitors and automatically direct them to a specific scheduling or web page based on their responses. It's great for screening and qualifying sales leads on a website or matching clients or students to the booking page of the right subject-matter expert based on their interests, program, or other criteria. Your workflow would look like this: 

  1. Create an event type for each host on a team page
  2. Create a routing form
  3. On the routing form, ask a question that will then route the invitees to the correct host - this question could simply be, “Which host would you like to book with?” with names of hosts as answers, or, “Which time zone would you like to book in?” with time zones for each host as answers - whatever works for your team
  4. Route the invitees to the correct event types for booking
