Question

2 Calendly Instances to 1 Salesforce Instance

Hi, I IT at a University, I was approached by a school that has a Calendly instance that is not connected to Salesforce asking if they could get connected.

The issue is that we already have one school’s Calendly instance attached to Salesforce. When I ask google if it is possible it says it is, but checking other spaces I get conflicting information that this is not possible.

Can you please advise on what would be the process to connect an additional Calendly instance to Salesforce?

Hi @Fielding36722  thanks for reaching out!

Good news: yes, you can connect more than one Calendly organization to the same Salesforce instance. The key thing to know is that the Calendly package only gets installed in Salesforce once, by the first organization. Any additional Calendly organization just authenticates to that same Salesforce org. It doesn't install the package again.

Before you start, quickly confirm:

  • The person connecting it is an Owner or Admin in that Calendly organization.

  • They'll be signing in to the same Salesforce production org your first school already uses, with a Salesforce Admin account (or a user with Author Apex and Modify All Data permissions).

To connect the second organization:

  1. Have your Salesforce Admin confirm the Calendly package is installed for All Users, and that the user who will be connecting has access to it.

  2. In the second school's Calendly account, go to Automations > Integrations & apps, then under Sales and CRM select Salesforce.

  3. Select Connect Salesforce and log in with credentials for your existing Salesforce org.

  4. If Calendly prompts you to install the package, please don't reinstall it. That prompt usually means the connecting user doesn't have access to the existing package, so check that user's package access with your Salesforce Admin and then try connecting again.

One thing to plan for: both schools will run through the same Calendly flows in Salesforce, so any changes to those flows will affect both. If you want each school's bookings handled differently (or kept separate), your Salesforce Admin can add entry conditions to the flows based on the user or team. This guide walks through it: How to filter the Salesforce flow to run on certain conditions
