Step-by-Step Instructions

  1. Confirm permissions: Make sure you’re an owner, admin, group admin, or team manager.
  2. Prepare your team: Owners, admins, and group admins should create a Team Page and add each host as a team member. Optionally, verify that each host’s calendar is connected from their profile.
  3. Open your Team Page: Select the My Calendly dropdown, then open your Team Page.
  4. Create a host-specific event type: Select + New Event Type, then choose Collective. If you’re on a Teams plan or higher, you can alternatively use Round Robin to achieve the same goal.
  5. Assign a single host: Deselect all hosts except the one this event type belongs to.
  6. Name clearly: Add the host’s name to the event title so invitees can easily identify who they’ll meet with.
  7. Configure details: Customize duration, availability, and other settings as needed, then select Create.
  8. Repeat for each host: Create additional host-specific event types for all remaining team members.
  9. Share the Team Page link: From the Team Page, select the settings gear and choose Copy Link, then share it with invitees.
