NEW for Workflows: Follow up with no-shows

You’ve prepared for your meeting, are on the call or at a location ready to chat and…your invitee is a no-show. (Cue sad trombone womp womp).

No-shows are no good, but they happen. Your customer or candidate may have had an emergency, gotten stuck in traffic, or simply lost track of time. While the missed meeting isn’t ideal, you typically want to forgive, forget, and get another meeting on the books, fast.

🌟Good news — now users on paid plans can use Workflows to automatically follow up with no-shows! 🌟

Before

When you marked a no-show in Calendly, your post-meeting Workflows were cancelled. You still had to manually reach out to no-shows to get a new meeting scheduled.

Now

No-shows, no problem! Set up and apply a no-show Workflow to Event Types. Then, when you mark a no-show, Calendly will automatically send invitees who missed the meeting an email prompting them to book a new time. (Don’t worry — other post-meeting Workflows like a thank you email will still be cancelled.)

Start from the no-show Workflow template, or use the no-show event trigger to create your own Workflow. Apply your no-show Workflow to multiple Event Types for even more efficiency.

Try the no-show template

This highly requested update will save you tons of time and work otherwise spent manually following up with no-shows, and help you turn that missed meeting into a new, successful conversation!

⭐ Pro Tip: Create reminder emails and text Workflows to reduce no-shows from the start.

Are you an admin for your Calendly organization? Try the no-show template for Managed Workflows to standardize follow-ups across your team.

Im so curious for a logical explanation why Calendly took ions to add such a simple thing….no-show workflow? My follow up to that is after all this waiting, the SMS isnt even inluded for no-show. Kindly explain Calendly’s logic here?

Why did it take Calendly so long to adopt No-Show email workflows and why still no SMS workflows?

It's a game changer! 🙌 Automating no-show follow-ups saves a lot of time and makes things move more smoothly. Can't wait to set up the workflow and avoid manual chasing! 💼⏱️

Hey,

This feature seems incredible unstable during setup, I can’t find the trigger in the list for creating a new workflow using No-shows and it didn’t work when I tested it.

I can create a workflow using No-shows but hyperlinking to the template on this page only. The default message then fails to load.

Whats going on? Is it supported?

Thanks, James

Hi @James01843 - Thanks for reaching out on this.

I haven’t seen any widespread issues on this recently - But it looks like you’re getting an “Oops, something went wrong” error here. To provide some more context on this error, our team has discovered that this behavior often occurs due to the Google Chrome Auto Translation Tool. With this enabled, you may experience the error described as: "Oops something went wrong".

If you are utilizing this Chrome extension, I would recommend disabling it here. You may also need to change your Chrome settings here. If applicable, you can also modify your Calendly account language from your Account Settings page. Once you have done this, you should be good to go!

If this does not resolve the behavior, please confirm that your browser is up to date. Out of date browsers can also be the culprit here. You can also test this by using a different supported browser to see if the issue follows (Firefox, Edge, Safari)

If issues persist beyond this, I actually recommend reaching out to our support team, as they can look a bit deeper into this issue with you.

Let me know if you have any questions!
