Question

Adding second host to a meeting

Hello everyone,

I would like to check whether it is possible to involve a second person in selected meetings while remaining on the Standard plan.

What we need is for the second person to receive the relevant booking notifications and updates, including confirmations, cancellations, reschedules, and the information needed to join the event.

I assume this is what Calendly would define as adding a co-host.

Could you please clarify:

Is this possible on the Standard plan?

Would this need to be set up as a Collective meeting?

Or is there another recommended way to ensure the second person is included in all meeting updates and joining details?

Thank you!

Hey @Zofia37468 thanks for reaching out!

You are spot on that this can be done by setting up a Collective Event Type -- and it is available on the Standard plan!

Here's how it works:

When you set up a Collective event, you add all the people who need to attend as co-hosts. The calendar only shows available times when everyone is free (so you don't accidentally double-book anyone). When an invitee books a time, both (or all) hosts are automatically added to the event. Plus, both of you will get all the notifications—booking confirmations, cancellations, reschedules, and joining details—all automatically. No extra setup needed.

This is perfect for your use case because it handles everything you mentioned:

  • ✓ The second person gets booking notifications
  • ✓ They receive cancellation and reschedule updates
  • ✓ They get all the info needed to join the event

Here's our help article for more details: How to set up a shared Collective event type

Let us know if you run into any issues getting it set up, or if you have any other questions. Happy to help!

Best,

Allie
