Availability Not Showing Correctly for Clients on Calendly

Hi everyone,
I manage scheduling, and I’m facing an issue where some clients see limited or no time-slot availability, even though my full weekly schedule is set up properly. I’ve already checked time zones, buffers, and calendar sync settings, but the problem still persists.

Has anyone else dealt with this issue? Any suggestions on what I should review or adjust would be greatly appreciated.

Hi there,

Yes, this definitely comes up from time to time, even when the weekly schedule looks correct. Since you’ve already checked time zones, buffers, and calendar sync, the next thing I’d recommend is using Calendly’s Troubleshoot tool on the exact dates/times your clients are having trouble with.

Here’s how to pinpoint what’s blocking your slots:

  1. Open the Troubleshoot tool
    • Open your event type’s public scheduling page (or its preview).
    • Scroll to the bottom and select Troubleshoot.
  2. Check the codes for a “missing” time
    Pick a date/time that should be available and see which code appears (full article here). Common ones:
    • CALENDAR – a busy event on a connected calendar is blocking the time (including all‑day “Busy” events).
    • BUFFER – a buffer before/after another meeting is removing the slot.
    • RANGE – your date range or “X days into the future” setting doesn’t cover that date.
    • TOO SOON – your minimum scheduling notice is too strict.
    • DAYMAX / MONTHMAX – you’ve hit a daily or monthly meeting limit for that event type.
    • GROUP – a group event’s maximum invitees have already booked that time.
    • HOST / UNFAIR / OVERLAP – team / round robin rules are hiding you in order to keep hosts aligned or avoid overlaps.
  3. Adjust the specific setting based on the code
    Once you know the code, edit the event type’s Availability and Limits and buffers sections (and, if needed, your connected calendar) to relax or remove that rule so more timeslots can show.
