Question

Buffers and Overlaps

Available time slots are not appearing on my calendly because of buffers and overlaps that I never set up.
How do I eliminate these to properly show my openings.

Hi @Cindy38143, buffers/max limits/meeting exceptions all exist in the second menu on your event type. Click on your event type [a right rail menu will appear] → at the bottom you’ll see ‘more options’ → if you click on that, a second menu will appear → there you will see ‘Limits and Buffers’ and ‘Fee/Busy Rules.’ This is where you can control all those options. If you find that playing with these settings doesn’t solve your problem then there is probably a conflict on your connected calendar beyond what Calendly controls. If that is the case, come back here and we will help you work through it. Below I’ve outlined what your settings control. Good luck!

  • Limits and Buffers - This is where your meeting buffers and max meetings are set.
    • Buffers - A feature that adds time before or after your scheduled events. It can be used to block out preparation time, travel time, or a break.
    • Max Meetings - Restricts the amount of meetings, a number that the user defines, for a specific event type based on time increments of - a day, a week, or a month.
  • Free/Busy Rules - This is where you set your meeting overrides. Calendly will ignore meetings based on the title you specify. Many folks use meeting blocks on their calendar like ‘heads down time.’ To Calendly this looks like a block of time not to schedule over but for many it is actually flexible. Free/Busy Rules just lets you identify to Calendly that it is ok to schedule over that time.

Hi @Cindy38143 - Do you have any examples of times/dates of when you’re seeing those buffers appear? If you have any screenshots of it, it will help us dig a bit deeper into it!

Just confirming, none of your events have buffers applied, is that correct? Let me know!

I don’t have anyone scheduled for 3 pm on Nov 5th but my Calendly doesn’t show this as available to my clients. I can provide other examples if necesary.

Got it - Thanks for sending this over!

If you go over to your meetings page, you should be able to see and edit any buffers that are showing there. They’ll look something like this:

If you click that pencil icon, there should be an option to remove it.

Can you check this and let me know if you see it?

It doesn’t allow me to click the pencil.  It’s like totally blocked!

Hi @Cindy38143 - One thing we can try here is logging in from a different browser to see if the issue follows. Try using a browser like Safari, Firefox, Edge ect to see if it lets you use that option.

If you don’t have another browser, you can try opening an incognito window to see if it lets you change the buffer from there. If it does, work, you should see a menu like this appear:

Lastly, in a pinch , you can override your available times through your booking page here:

Let me know if any of these steps work!

Thanks for all your help! I was able to delete some of the buffers but not all of them when I used a incognito window.

Yes, I can schedule over the buffers, but that doesn’t really help me at this time, because most of the appointments are being scheduled directly by the client.

Any thoughts on why I can delete all the buffers?

I’m not sure, but that is very interesting. From this point, I’d recommend reaching out to our support team with some screenshots or videos of what you’re seeing so they can take a closer look at whats going on! You can either chat in directly or email support@calendly.com

Let me know if you have any questions!
