Can I create a conference-room event not tied to an individual host account?

Hello,

We’ll be attending a conference and would like to set up a private meeting room that guests can book to meet with our team.

We recently purchased Calendly and are trying to find out whether it’s possible to create an event for this conference room without linking it to one individual host’s personal Calendly account.

Ideally, we’d like the booking page to represent the conference room itself, rather than a specific person.

Has anyone set this up before, or can anyone advise on the best approach?

Specifically, we’d like to know:

  • Is this type of setup possible in Calendly?
  • What would be the best way to configure it?

For any type of scheduling, it would need to be tied to someones account. In some cases I’ve seen users create a Conference Room User that hosts all of these meetings. But regardless, it would need to be tied to someones account. :) 

In these cases, I also recommend using our Overlapping Events feature that allows you to host meetings at the same time. You can read more on this here: 

In this case, you could have it so someone could handle the scheduling for the conference rooms, while still running their own events simultaneously.

Hi ​@Maciej11321 The best way to handle this is to treat the room as its own "person." If you have an extra license seat, create a new user account using a generic email (like [removed by moderator] ) and name it "Meeting Room 1." This way, the booking page represents the room itself rather than an individual.

If you don't want to pay for another seat, you can just create a separate sub-calendar in your own Google or Outlook account called "Conference Room" and link your Calendly to check that specific calendar for conflicts. It’s a bit of a workaround, but it keeps the room's availability independent of your personal schedule.
