Question

Change an appointment date

If I want to change an appointment past or future to another day / time, it seems I can only choose from open times.  Why can’t I change to what actually happened?  Am I missing something?

Hi @DrHSBr - Thanks for reaching out.

Could you tell me a bit more about whats going on? Are you having issues rescheduling an event to a new date? Or are you booking a new invitee? If you have any screenshots it would help a lot!

Let me know! :)

Screen shots not really important.

Scenario A.   I have a meeting with person A at 5 pm tomorrow.  They come by today to see me.  How would I change the date and time to reflect that, if today is not a time / date on the “allowed” times?

Scenario B.  I have a meeting with person A at 5 pm tomorrow.  I can’t make the meeting, but want to change it to 6 pm.  Email A, they agree.  5 is my last allowed appointment.  How can I change this time for 6pm in Calendly?

These should be simple, straightforward things to do, Yes?

Hi @DrHSBr - Thanks for clarifying!

If you use Google Calendar for your Calendly events, you can turn on the “Automatically sync changes from this calendar to Calendly” from your connections page here: https://calendly.com/app/availability/calendar_settings

This way, you can manually move future events to another date/time that may not be within your default availability. This should allow you to move an event for both Scenario A & B.

However, keep in mind this does not work if you want to move an event to the past. Calendly does not reflect that change, so it would need to be rescheduled at least 5-10 minutes in the future. There is not a way to move an event to the past at this time.

Another option is that you have the option to override your availability when scheduling your appointments as well:

This way you can schedule someone through Calendly to a time thats not within your normal availability. In this case, you would need to cancel your appointment first, then schedule them again. You can find this option from your scheduling page here:
