I work at a university, and they asked me to find a free scheduling tool that allows professors to reserve eight different specialty rooms for events. Is it possible to set up eight separate specialty labs in Calendly for this purpose?

Hi ​@Dawn55135 - Thanks for reaching out!

With our free plan, you are limited to only one event in the account, so there wouldn't be a way to book all 8 labs through the same event. You would need to use one of our paid plans to setup an event for each lab, then allow the labs to book over one another. This way you can ensure each lab can be booked once per time slot.

Hi David,

I just spoke with my supervisor, and it turns out that only one specialty room will need to be reserved during the school year by a few professors. I’ve taken a screenshot and wanted to check if I set it up correctly.

Could you please let me know if I’m on the right track, and how to proceed from here?

Hi ​@Dawn55135 - Thanks for reaching out.

Looks like you’re on the right track already. If there is only one space to be reserved, you’ll only need one booking page. 

From there, each professor will need to be sent this booking page so they can choose the time and date that works best for them.

Once they book, they’ll be sent the confirmation and a calendar event so they won’t forget.

I have one other question. This account I set up should be feee. 
 

It’s showing a count down then says upgrade. I have talk to other professors that use this and they say it’s free. I just want to make sure that what I did is free.

Good afternoon,

 

I have been conversing back and forth with your help center/support staff.

I have a few questions, the first question is my IT department is trying to create a dedicated email address so that the faculty can get into Calendly with having to use my personal or my Marist email address.  So that way if I am away or if I was no longer working at Marist they would still have access.

My question to you is once I get that dedicated email address created will I be able to apply it to the account I already have set up? So that way I don’t have to close out this account I created already and start a new one.

Second question, is if I can keep this account and just change the email address to the dedicated one that we are creating. Do I have to change the this below to the dedicated Marist email. If so how do I do that?  

The last question I have is that our IT department is asking for the following:

#1 - The best way would be to just change the email on the account to the new dedicated Calendly Email. You won’t need to delete the account, instead, you can make changes to your login on the Login Preferences Page here: https://calendly.com/app/personal/login_preferences

You’ll be able to update the email, and login method to what fits your company best!

#2. You can keep the link to your Calendly page the same! No need to change it to anything else.
