Hi, there! I am writing on behalf of my supervisor, who uses a different Calendly account for our nonprofit organization.

At the organization, we have 2 people staffed at 3 different time slots in the day. For example, 9am-1pm, 1pm-5pm, 5pm-9pm. We want 2 people for each shift at all times.

There are a few regular ‘employees,’ who work on Tuesdays at 9am-1pm, for example. However, if I block this on Google Calendar with their name, it makes it so nobody else can schedule for the shift. Since this regular employee works at the same time every week, we don’t want them to half to fill out a Calendly booking every time, and instead, use Calendly as a way to notify other employees that the shift has opened in case the regular cannot come in.

Essentially, I want to be able to block off the Tuesday worker, but have Calendly state that there is “1 of 2 spots filled” still.

Thank you in advance.

Hi @isa - Thanks for reaching out!

Just to confirm, it sounds like you’re using the Group Event to allow for employees to schedule shifts for themselves, but we’re looking for a way to limit the Tuesday booking to only allow for one other employee, correct?

In this case, the only way to do this would to have the employee schedule that time they’re working each week, or you can schedule for them on their behalf. Right now we don’t have a way to adjust the invitee limit on specific days - but this is something that I can forward on to our product team!

Apologies there isn’t a more direct way to do this, but having them schedule those times would be the best way to go about it.

This thread will stay open to see if anyone else has any ideas, but let me know if you have any questions!

Hi, David! Thank you so much for your response!

I will have to let my supervisor know. If anything, it will probably be my job to insert those employee dates, haha.

I think this would be a great feature for future updates! Recurring meetings and being able to select multiple dates from a calendar view would be so helpful.

Thanks, again!
