Hi,

I need to connect multiple Google Calendars to the same event (to allow booking multiple appointments) or alternatively create multiple events, each linked to a specific calendar.

"I saw that it’s possible to assign an event to multiple hosts using the round robin mode (TEAMS plan), but is it possible to check whether that host is available in that time slot and then publish the booked event on their calendar

Could you please advise me on how I can set this up? Also, which subscription plan would you recommend for this use case?

In this case, to either connect multiple calendars to the same event OR create multiple events, you’ll first need to add all of those users to Calendly by following these steps: https://help.calendly.com/hc/en-us/articles/223146067-How-to-add-or-remove-users-and-seats#h_01JAE9E89Y2KDZH0B7T42T8CHZ

Once they’re added, you can either create multiple events and allow your invitees to choose their host or upgrade to the Teams Plan and utilize our Round Robin function. (You can read more on this here: https://help.calendly.com/hc/en-us/articles/14078881985815-How-to-set-up-a-team-Round-Robin-event-type)

Depending on how many users you’re adding, I’d recommend using our Round Robin feature under the teams plan, as it gives you the most flexibility and the least amount of setup to get this running.

Thank you! but can I also add multiple Google Calendars, one for each host?

Will the user booking the appointment be able to see that a time slot is available in one of the two calendars linked to the event?


Hi ​@Zuk - At this time, you’re limited to 6 total calendar connections in your account, while you can check all 6 for conflicts, you can only add events to one of them. So there wouldn’t be a way to set specific calendars to each event.

If you want to have events with multiple hosts/calendars, you would need to create a user for each individual.

Thanks for the additional context. One thing to make sure I understand: when you say “you can only add events to one of them” do you mean that the calendar where the events are added needs to be always the same (regardless of whom the event is booked with) or that an event can be added only to one calendar at a time?

This is referring to a single Calendly account. So each Calendly account can have 6 calendars connection, but only have it configured to add events to one of them.

However if you setup a team event (Like a Round Robin) Each user would have their own account and their own Calendars that can be connected to it.

We’ve had some users in the past try to connect all of their teams calendars to one account, and except it to add to each one individually. But if you setup your team members with their own account, it won’t be a problem!

Sorry for being a pain but I’d like to share our use case so you can maybe suggest the best solution for us:

  • We’d like to have 2 (or more) users each with their own Google Calendar connected
  • When someone wants to book a meeting, they see as available slots any slots where at least one of the 2 users is free. So the first available slot should be the earliest available slot across the 2 (or more) calendars, with the next available slots following the availability of the 2 calendars (at least 1 user should be available for the slot to be shown as available) 
  • When someone books a meeting, the meeting is added to the calendar (and Google Calendar) of one of the users with that slot free. If 2 users have the same slot free, 2 meetings could be booked for that slot: each with one of the 2 users

Is this use case achievable? If yes - what is the best account structure?

Hi ​@Zuk - Thanks for getting back. Yes this is achievable. This is what you’ll need to do:

This will allow for either user to be booked through the event, and be booked one at a time. For your case, I’d recommend setting the Round Robin Distribution method to Maximize Availability (You can read on this here: https://help.calendly.com/hc/en-us/articles/4402432846999-Round-robin-distribution-overview)

 

This setup requires the Teams Plan which is $16 per month, per user on the account (Billed Yearly)
